Issue exporting Organization contacts

Options

When using Address Processing to export Organization Contact emails, I am getting one contact in my export and not getting a second contact. They have two different contact types, however both types are specified in Address Processing in the export. I cannot figure out why one is exporting and the other is not. The records are identical i.e. marked as a Contact, except for contact type. Help!!

@Rashida Brown Make sure you have checked “export one record for each contact found”.

  • @Marie Stark I have. It's a strange issue. It works perfect for some organizations and contacts but not all. ?

I'm going to back up a little here and make sure I'm understanding your question properly. How are you using Address Processing to export emails? Are you working in Exports, in Online Express settings, in Mail, or another area?

In Export, the Emails, Address Processing, and Contact exports are different things. Under Address Processing criteria, you have the option to filter by Contact Type. Make sure that the correct Contact Types are selected.

If, however, you are exporting Contact Phones (emails), then that would be under Relationships - Phones - Email and is also able to be filtered by Contact Type. However, there is nothing about address processing mentioned in this area.

  • @Faith Murray This is an export. I am using Address Processing and specifying the contact types. The issue I am having is that the data being exported per Organization is functioning differently. One organization has two of the same contact type, however only one appears in the export. Another organization has 9 contacts, all relevant types are selected, yet only 8 are exported. I am using Address Processing because I need one row per contact. I believe this may be a bug…

  • @Faith Murray here is a screenshot of what I have in Export using Address Processing. Again it works, just not consistently.

Yes, I see where you are looking now. In that case, my first thought would be to look for variations in the Contact address records themselves. For example,

    • do the missing Contacts have an email address but no physical address? Under Address Processing, it may filter out contacts with no address or it may defer to the Organization address, which may not contain your contact email.
    • Is the Contact's address marked “Send Mail” and “Primary”? Both buttons must be checked in order to pull in Address Processing.

If all of this checks out, then I would contact Support. I've recently had some bugs with Event participant attribute formatting and have had an open ticket for 5 weeks. So, bugs do happen!

  • @Faith Murray that's my next step. I've spent a considerable amount of time testing and researching. The records all share the same characteristics so I do unfortunately believe it's a bug. Thanks for helping me think it through. I exhausted my own knowledge and wanted to see if I could find a miracle here in the Community before opening a case. Off to Support I go!

  • @Marie Stark
Where is that check? Or are you referring to the Number of contact types to export?

@Tammie Cach Abdu In address processing, contact types to include.

    Hi Rashida,

Are you sending to the contact's address or the organization address? If contact address, make sure the send mail is check otherwise they wont show up. This is how I have mine set up and have no issue dropping contacts.
