Prospect Status

Options

Anyone figure out how to track prospect status in RENXT or Raiser's Edge? Looking for a way to track time in stage. There is an auto populated date field in NXT, but I can't figure out how to report out or query it. Anyone have a good way to track this information? Do you use actions?

    Hi @Sara Benedict - You are correct, that you can view this information directly on the Constituent's record in Web View, however the information is not searchable within a Constituent List or will it appear within the native reporting. Unfortunately, I have not found a way to get around these constraints. I recommend you check out the RE NXT Idea Bank and make sure this is represented.

  • Do you track this with Actions? I've heard some organizations are tracking it that way. Seems silly that the Web View has the “date stamp” but I can't actually report on it.

    Sadly, the model that has worked best in my experience to track time in a stage is to use actions.

    We used a specific action type, category of task/other, and status to represent constituent's prospect status. That action remained incomplete while the constituent was at that prospect status. When they moved to the next stage, the action was marked complete, completion date added, and a new incomplete action was added for the next stage.

    This was probably 15 years ago and it is pretty disappointing that it hasn't been addressed in the software yet. I've heard so many organizations request it!

  • Any field that is queryable, allows for menu options, and includes a date field could work. I myself would probably veer away from Actions at our org simply because that tab gets so crowded and because you could accidentally enter multiple “Status” actions, confusing your reporting. I tend to prefer an Attribute/custom field with a drop down menu, date of status, and then allow only one per record.

    Using Actions have the benefit that you can run an “overdue action” list specific to that action type. But Attributes are beneficial because you can restrict to only one per constituent and it's easy to find/view. You can even pull a list in NXT by Custom Field Date to pull “old” status attributes that have sat too long.

    One could conceivably even use the Membership function (as it includes end dates that can repurpose to due dates), but that wouldn't be my recommendation.

    @Sara Benedict We use a similar model to what was mentioned by @Karen Diener, but we just close out the action and when we export the data use a date difference formula to get the number of days in the stage. Here is some documentation around ours as well.
