Creating a report and query for credit cards expiring in the next 30 days

Options

I know this has been addressed in the main community but I kept coming across dead links and instructions that did not work as I believe they were out of date...

I would like to know how to set up a query for sustaining donors that have a credit card expiring in the next 30 days. We would like to set this up so it rebuilds itself on a monthly basis and then set up an email that would automatically deploy to these donors.

Additionally we would like to build a report that provide the same detail but would include the donor's name, address, etc.

Any help would be appreciated, thanks!

  • Hi Stacy,

Under Report Writer there is a Sustaining Gift Attempt Summary Report or the Sustaining Gift Attempt Details Report that you can set up to run on a recurring basis and then have emailed to you - this is the only place that you can set up this kind of report to run on a recurring basis. http://community.convio.com/t5/Sustainer-Campaign/Report-Options-with-Sustained-Giving/td-p/60384

I've just gone in and added additional fields to the Query tool for you, not all of the Sustained Giving Fields are included by default so sorry for the confusion. Open up Query, add a name and short description, click on Field Type and choose Sustained Giving Information from there choose Field Card Expiration Date.

Save the query > click on Run > on the next screen choose Use Query (top right hand corner) > Create a Group > Choose "Periodically rebuild group membership" then click on Save. You will use this target group for the recurring email.

If you haven't set up a recurring email before check out the Email Campaign training in the Learn Center or listen to one of our old recordings on setting up the Welcome Series.

Depending on whether or not you've enabled the Gift Service Center you will either ask people to contact your office to update the CC information or if you've enabled GSC then direct people to sign in and update their information.

We held a session a couple months back on setting up GSC, please refer to that recording for guidance on configuring GSC. Here is info on how to get donors their login information http://community.convio.com/t5/Sustainer-Campaign/How-does-my-donor-get-their-login-information/td-p/60390.

Thanks, Danielle. The missing fields in query were definitely causing some frustration and wasted time, I was referring to an old community post to set this up and kept hunting for that expiration field never thinking it was just missing.

So the report will only show cards that have been declined? Is there no way to get a report showing cards that will be declining?

Can  you re-post the information about log-in? That URL is not working for me.

Would this be the correct set up to find all donors with credit cards expiring in the next 30 days?

    Stacy,

Here's information that Danielle posted in January (sorry you had trouble viewing it):

In the 2012 Winter Release the constituent password security protocol was changed. This enhancement improves security for user credentials so that passwords are not sent in the clear. This enhancement implements a new security paradigm where users will no longer be sent their passwords; instead, they will need to follow a Web link to reset them.

The key issue here is that current statistics cite that 61% - 75% of users use the same password “for everything.” While there is no sensitive financial or personal information stored and accessible in the user profile, the password they use to access your site is probably the same password they use to access their financial institutions, healthcare information, social media sites, and even their employer systems. This creates a dangerous scenario where a malicious agent could obtain passwords from your system and exploit them. To read more about the password security change http://community.convio.com/convio/attachments/convio/releases_winter2012_featuresummaries/36/1/CF_F...

Our recommendation - When a recurring donor sets up their initial gift they will receive an autoresponder, if you've set up the GSC then you should include a link to the GSC within that autoresponder. We recommend adding instructions IN the autoresponder explaining that the constituent's user name and password have been generated by the system. To reset the password they should visit the GSC and click on the reset/retrieve password link. Also explain that their user name is their email.

If a donor calls asking for their user name and password, simply log into Luminate Online, visit the constituent's profile and click on the reset password link from the main page. The system will then generate an email to the donor with instructions for resetting their password.
