Guilds Program

Options
We have recently begun a Guild program. These are small community organizations that pay dues and hold fundraisers for our Foundation.

We are trying to determine the best way to set up and track the Guilds in order to be able to set up reporting on the associated gifts.

We do not have the Membership module.

I was wondering if anyone has a similar program and how you track it in Raiser's Edge.

Any ideas are appreciated!

  • You might use recurring gifts in combination with constituent codes with a from.. to.. date.

Thank you, Cathleen.  We started out using a constituent attribute,  the Guild members can contribute to other events not related to the Guild. I need to be able to report on gifts only related to the Guilds program.

  • Would giving the gift an appeal code work?

We were thinking of that, or a gift attribute. I also need to group my report by each guild. We are not sure if opening a separate fund for each guild would be the best way to go.

Unless the funds raised by each guild require a separate fund due to the fact their $ goes to different budget line items, I would hesitate to create a fund for each.  (That's also assuming your RE is integrated/posted over to your accounting software or could be at some point.)  We keep our fund list from list from growing enormous by only creating/adding new funds when needed because of posting to different GL.

There are many options that I would consider better as suggested:  gift attribute, appeal, gift code...

If you are creating a specific constituent code for the guilds that could even be a filter used for reporting.

    Just 2 more cents....
  • Establishing a table of financial codes for each guild that would be used as a gift attribute would enable you to run a monthly analysis report.  This report would be a monthly total of each code and the # of gifts.

You could also post the funds raised from each guild into their own seperate gift appeal which would provide extensive query and reporting capabilities.

Thanks to all of you. I think we are leaning towards using a gift attribute.
  • We use a constituent attribute to identify our guilds and their giving levels.  Many times we must identify them in reports or lists, other than financial.  I found it easier to pull from constituent rather than gift attribute in these cases.
