Pulling Business Name

Options
When the Primary address for an individual is a business, what is the best way to get the Business Name to pull for a mailing? I am thinking of putting it as the Address 1 line but wasn't sure that was the best practice.

  • Melissa - Not sure I'm understanding your question, but I find the way RE handles business addresses a tad confusing.  In most cases, you create a business relationship for the constituent's organization so the organization name actually resides on this relationship.  Then when you go in a look at the constituent's addresses, you really don't see the organization name anywhere. So it sort of seems like it's not there.



    But when you export the address, there should be a field in the address fields called 'Organization Name' and this will bring over the organization attached to the relationship which is attached to the address.  



    You do need to make sure that the business relationship has been set up correctly and that the business address was correctly created as a result.  If someone has 'fudged' the entry of the business address not from a relationship, you'll have issues with the organization name not showing.

    My issue is that if I am pulling a large list and someone's home address is their primary but also has a business address, if I pull the Organization Name, I would get an Org Name with a home address. I only want to get this for folks that have the business address as the primary. That's why I was thinking I should maybe add the Org name to the Address 1. Does that make sense?

  • Someone please correct me if I'm wrong, but I believe if you use Address Processing fields, RE will only pull the Org Name for addresses linked to the Relationship (i.e. under the [Business] button on Bio 1).  The "Print Org Name" box must be checked for it to work, and I agree, it would be nice to see it as it will appear in RE (same for "Position"), but I've mostly gotten used to it, and there are other changes I'd like to see first!
  • There are different places to pull in org name so that might be what's causing some confusion here.

    It sounds like in this case, you need to get the org name that's actually in the set of Address fields - not from anywhere else.



    So let's say you're exporting out the preferred address. Let's pull over these fields into export:
    • Sort Name
    • In Preferred address, Type 
    • In Preferred address, Address Block
      • Address line 1/2/3/4/5
      • City
      • Country Long Description 
      • Organization Name
      • Position 
      • State
      • Zip
     
    • For constituents with preferred address type of Home you'll get their home address. 
    • For constituents with preferred address type of Business, you'll get their organization name and position in addition to the business address.
    What you DON'T want to do is pull the Organization Name from anywhere else - like in the Primary Business Information section or the Relationships/Organization section.  Yes, that would give you the 'raw data' about their organization but NOT the organization related to their preferred address.
    • In order to not 'cross-pollinate' data, you only want to pull the Organization Name that is associated with their address and NOT the other data on their record. If you do then yes, you'll get an organization name along with a home address.
    I think that fully understanding how to pull addresses in RE can be challenging because sometimes, you think you're doing it right (ex: by grabbing Organization name from somewhere you're seeing it) but there's really some very specific ways you need to pull address data.  And fully understanding address processing is another area that you really have to understand well and it's not that intuitive.

  • Thanks for the help, Gina! I got it to work. Of course, now I have to go and fix all the "fudged" records that are in there to get it to work on All of them!
  • Melissa - So glad you were able to figure it out and now are scrambling to erase all that 'fudged' data!!



    I think the way business addresses work in RE is one of the hardest areas to try to explain to users. Typically, there may be some address training in the beginning but staff are too new to really 'get it'.  So they never really understand or practice how to correctly structure a business address from the organization relationship, how these business addresses behave on a record, how to add new ones or remove old ones -- all aggravated by the fact that you can't see the organization name on the address itself!  



    So this can definitely lead to misunderstanding and compensations that in the long run are not needed and you don't really want!



     
  • Also to note, when exporting in mail I have found it's best to use the "Addressing Processing" address and then use "ADDRRESS BLOCK"... on some of our letters if we used Pref Address and added the Org Name from the Address block it will not print the Org Name. but using the Address Processing block fixes that.
  • Elaine - Thanks for the great tip.  Any idea why that happens?  
  • I was told by BB support that it is a known issue with the later versions of 7.93.  I've had exports set up since at least 7.92 and recently noticed that they suddenly started pulling Constituent Name instead of the Organization Name in the Organization Name field.  There is a Knowledgebase article on that #73088 that Support referred me to for a work around, the same that Elaine mentioned.  Of course now I have to go and update my exports with "Address Processing" every time I want to use an old one.
