Event Form Question

Options
I have a dilemma with a new form I am creating.

The event form is for a dinner in which we solicit sponsored tables which each seat 8 guests. I have attributes that only pertain to the sponsor, not the registrants. The way the forms work now, I have two choices:

1) Set up each price type with a fixed number of guests at 8. When I do this, the individual registrant forms for the guests will include all of the attributes. But, the attributes refer to table, not to the registrant, and so are not only redundant, but make the form unusable.

2) Option two would be to set each price type with a fixed number of guests at 1. This will eliminate the problem in option of 1 of the form asking each guest information about the table (table name, attendance preferences, which are questions about who will fill the table.) But, with this option, the text field underneath each price selection includes a line that is now inaccurate to what the sponsored tables offer:

"Presenting Sponsor"

(1 registrant)

Are these fields supposed to be editable? If not, can I request that they are set up to be editable?

Or, do you have any suggestions as to how I can make the form work for this event?

Thank you.

  • I am now wondering if anyone other than myself has seen this message. :) Do I need to repost it?

Hi Debra, sorry I missed this post. The text describing the number of registrants is automatically generated based on the number of guests, and it isn't editable. Have you looked into the anonymous registration options on the "Field options" step of the event setup? This would allow table guests to skip the registration if it isn't necessary.
  • Hi Matt,

Thank you for the tip. Using the anonymous registrations almost works. The first listing, which is of the Registrants, is perfect. But, the second list of Preferences, also aimed at Registrants includes Attributes that only relate to the Sponsors. See below for an example of what my event looks like using the form editor. Please let me know if you have questions or other suggestions as to how I could make the form work. Thank you!

Our form is aimed at sponsors who are paying for a table at a benefit dinner. We don't care if they know all of the info about their guests when purchasing a table. So, the first set of fields makes sense. The text in parentheses are my notes to you.

(This set of info would be fine for sponsors to fill out or not about their guests)

Register later (A guest list form will be mailed to at a later date)

    Same as billing

(This set of info ONLY applies to the sponsors and the table as a whole and not each individual guest, and so, would confuse the sponsors purchasing a table)

Hi Debra. Thanks for the info. Currently there isn't a way to specify attributes for certain registrants and not others. The attributes apply to all registrants. We are considering more advanced event registration features in the future, and this flexibility would be a possibility at that point, but there are no short-term plans for this feature unfortunately.
  • Thanks Matt!

I can appreciate that this is a work in progress. The form works as it is for sponsorships.

I'm trying to think of a way that we could let sponsors who have paid or pledged to us fill out a separate guest list form online. It would be easy to create a guest list form that only asked the name of the sponsorship, and then allowed names and contact info of guests to be filled out by the sponsor.

But it seems the sponsors would need some sort of unique identifier or pass code so as not to invite unpledged/unpaid sponsors from filling out a form and believing that they are now sponsors.

    Just thinking out loud here...
