Error message says I can not create any more lists - says 50 is the max?

I have deactivated many lists. Does that not count?

  • Thanks. I do frequently reuse many of the lists. I guess I will have some lists that will have to change every time - didn't realize as I was going that there was a limit. I've only been using the product since the fall.



    They are all pretty unique, but are essentially our constituent groups.


    We are a school - so we have graduating classes from the 1940s up to today.



    Sure would be nice to keep those in there rather than creating an extra step.

    We increased the list limit to 200 in the early July 2015 release of Online Express.

    OK. I see. I don't care about the losing the stats on whether a certain list is "successful." We care more about the stats of the particular email message. We do like to look back and see how much money each message brought in or how many of the folks opened it. Since we have a very defined constituency - it's not like we build lists from a marketing perspective, "people in this zip code who regularly attend events". Our queries are, "class of 1975 non donor" or "constituents who haven't replied to an event invite yet." And, because the criteria for lists like that change every day - the "list" stats don't mean as much. If we were an aquarium or a museum, I can understand how those stats might be helpful. As a school, it's less important. In summary - if we can deactivate and have it not count - we wouldn't be losing much. As is, it's tough to lose the ability to create a list on the fly. Currently, you have to close out of the message and go to list management. Then, go back to the message. Minor, but just another step.

    The stats just start to loose meaning if the criteria of the list changes. List health is an important metric, but it's only insightful if it's comparing apples to apples.

    If they don't count toward the limit and will still allow the stats to work, then it seems better to me. What does happen to the stats when we recycle the lists? I'm not sure of any obvious drawbacks.

    Destroy historical data? We have to rename the lists anyway and upload new queries to those lists. What happens to the history there?

    Thanks for the feedback - we are working on increasing the list limit to 200 in the near future.



    While we won't be allowing sent lists be deleted because they would destroy historical data, we are looking into allowing the inactive lists to not count against the list limit.

  • Also, users should be aware that when they are using an old list with a new query and renaming it that they not do it so quickly that the original message has not been distpatched.



    For example, we had a series of email appeals being sent to each of our classes (1950-2015).


    As one was sent - a new query was attached and then sent.



    Unfortunately, the work was done too quickly and the first message was sent to the second group. This ended up happening for hours worth of work.



    Just a note of caution for those who need more than 50 lists in a short time span!

  • Yes, I'd be happy with being able to permanently delete a list too. Our query parameters for mailing and emailing is always in flux.

    This has been a great discussion - thank you. Just to be completely transparent - the 50 list limit isn't really a decision we made to intentionally handicap the product. After around 50 lists, there are some system performance challenges that started to appear. This is something we are looking into in for a future improvement, but unfortunately it isn't as simple as setting the limit to a bigger number.

    We segment for the majority of our communication and event emails. If any communication is recurring the same list/query can be used. Can the max be increased? Or do I really have to use a workaround such as editing and renaming an existing list?
  • Hi Tina, Unfortunately you have to recycle lists.



    I deactivate lists I can only use once.


    Once you re-activate it, you can rename it and add different queries to it (and remove the old query).



    Definitely a weakness in the program since you have to do the list first. The "create new list" function disappears since you can not delete old ones.



    Hope that helps you understand the issue more clearly.

  • The current maximum number of lists in Online Express is set at 50. that would include deactivated lists too.



    We recommend that you take an existing list, remove any queries tied to that list, and send from that list. You can also change the name of that list.



    Just so we can understand how you're using Online Express, can you let us know if you're really using 50 completely different lists/segments for emailing? Or are you creating new lists with the same queries each time?
  • @Matthew Garbarino - it's 9 years later and we still cannot delete lists or go beyond 200 lists. It's really impeding our ability to use the (aged) Online Express plug-in.
