Entering Commitments to a Campaign

Options
We would like to enter commitments to a Campaign, but do not want to call them a pledge as Raiser's Edge counts this as cash and some of these commitments may not be as firm as a pledge.  I would like to be able to track commitment reminders, commitment totals, etc.  Has anyone found a work around or solution to this issue.  Thanks

  • If you have it, use the Proposal tab and enter a proposal.  You can also link Actions (track commitment reminders) to proposals.
  • We needed to fo this for some verbal campaign commitments. I created a separate campaign called: Campaign - Verbal Commitments. When a firm pledge was received I entered it and adjusted the verbal pledge for $0. This made our finance director happy because we could easily run reports and exclude these gifts.
  • In at least one time period in our database's history, the gift subtype field was used to differentiate.  I believe they were called something like "verbal commitment," "signed pledge in hand," and "waiting for signed pledge."
  • Another option is that they could also be entered as "other" type gifts with a gift subtype of "revocable commitment" and then converted to a pledge when the "real commitment" is made.





     
  • We don't post to our general ledger, so we've been able to use those fields to help us tweak here and there.  I once had to track gifts that were considered "pending pledges" to my DD but not to our business office.  (Call it semantics, but I could just not convince them to use proposals or anything else.) I found that I could keep the info in RE as a pledge where is made sense for her and the other staff, but I was able to exclude it from reports by using the GL post status field option "do not post."  This was also helpful because eventually we would get documentation or whatever and these would become "real" pledges and I could just update them by changing the GL post status to "not posted" (like all of our other gifts) and it would show up in reports.

    Jeana, You may want to check out options.  If you really mean that you're sending these people 'reminders' as RE defines reminders - that function is not available with gift types like "other" and a few others.  



    Pledge may be your best option either to a 'commitment pending' fund or not posting.  Even if you don't post to FE, marking gifts as 'do not post' can be risky if you're posting to any accounting software as it could cause a gift to be overlooked. 
  • We enter them as a normal pledge and then we mark them as Do Not Post and give them a gift attribute of "Verbal Pledge" so we can then exclude them in reports when necessary.  This allows us to send acknowledgements, reminders and count for Development Totals for the Campaign, but not count for financial statements. Then we we have the signed pledge form, it is easy to change to Not Posted and remove the Verbal Pledge attribute and have it post as normal.  
  • I have used the Gift Type of Pledge and Gift Subtype as Verbal Commitment.  That way you can either fold them into your total and projections or you can exclude them.  And you can also exclude them from any reporting going to your business office, because they do not want to see anything that is a not a hard/signed pledge in most cases.
