BBMS Event Purchases integrated into Raiser's Edge

Hi,  We began using BBMS last year and have utilized the credit card swipers at two events now.  It's been great utilizing this easy feature for raffle tickets and smaller silent auction purchases directly at the event!  However, how do we integrate or bring these purchases into Raiser's Edge without having to manually do data-entry?  We also have Luminate; would it be easier to somehow enter each purchase through a donation form on Luminate so the gifts are integrated into RE?  I'd love to hear suggestions on how others have resolved this issue without purchasing any additional modules.

  • I recently learned that the card readers will only work with the MobilePay app, so you couldn't use it with Luminate. The donors would have to manually enter the card details.



    We use ImportOMatic to import the gifts from a .CSV file that I download from BBMS portal. Each iPad is assigned to a certain area of the gala so I know what are raffle ticket purchases (which we don't enter into RE) and what are donations and registration fees, etc. I still have some manipulation to do to the file, such as adding appeal and fund, but it's much easier than manually entering gifts line by line.



     
  • We've done this in a batch.  Most of the amounts and everything were the same, so we set up a batch were all we need to enter was the donor name.



    Another things that has been done, that I don't particularly like, is that we entered one lump gift as anonymous when it was something like a retail purchase or raffle which isn't tax deductible.  Less accurarate, but faster so depending on the number of gifts and the amount of time you have...



    BBMS integration would be great frown



    I advise against using an online form for processing the gifts instead of the swiper -- it gets time consuming and people are impatient.
  • We also use Importomatic like Sharla and mark our IPADS in the same fashion so I know which device is being used for which type of purchase.  Once you get the templates established in Importomatic it becomes your best friend!!  Good luck!
  • We use the RE:EVENT app on IPAD.



    Settings in RE:

    I set a gift default set in RE for the event

    I then create a default gift batch in RE called "App_mm-dd-yy"



    Settings in the EVENT APP

    Event Settings: (found in the upper right hand corner once you open the event)

    Gift Default Set = Use the event's default set ("the one I sent up in RE")

    Gift Batch = "the one called "App_mm-dd-yy"

    Merchant Account = BBMS



    We then committ the batch after the event, and can receipt/acknowledge as needed.

    We do not use Luminate, so I'm not sure how the settings above would affect that.
