Solicitor Status Reporting

Options
I would like to produce a Solicitor Status report for management that will list (by donor) Budgeted Amounts, Actual Funded Amounts and Action information such as what "touches" have been made with the donor (email, phone call, visit, etc). They would also like to see comments and future actions in this report.  Mixing the financial information along with the Action infornation is making it a bit difficult to create a report. Does anyone produce a status report like this? Any suggestions?

  • Do you have the Prospect module?  We use Proposals for tracking budgeted amounts (Ask Amount) and Funded Amount.  Then we use a custom Crystal Report that shows a year's worth of proposals, by month (columns) including ask, expected and funded amounts. We don't have any reports that also includes actions but that is something Crystal Reports could do.  We do have other reports that focus on Actions and Action notes. 



    A few years ago we looked into using the solicitor relationship fields to track budget amounts (goals) but it didn't meet our needs.

    Because you are pulling Financial and Action Information, I think the best option would be to try a Constituent Export.  I have built similar reports using the official Export module > Constituent Export.  I often use the fields called "Last Gift" and "Last Action" which will give you each donor's most recent Gift and Action Information. 



    It sounds like you might want information from more than one Action, that is possible, but with the Constituent Export you will only get one constituent per row, so all of their information (including multiple action info) will fly out to the right in separate columns.



    Also, in the Constituent Export, Summary Fields are available, so if you want other information -- for example total giving, or even the total number of Actions that donor has over a certain time period -- you could do it.
