Event Fees that we do not want posted into Raiser's Edge

We use NetCommunity to create our event registration pages and pull the participants into the event after they've paid with a credit card.  Several departments at our University are needing registration pages so that they can accept credit card payments but the registration fees are not considered fundraised dollars and we do not want them to show up as "gifts" on the participants record or in our fiscal year fundraised totals.



My thought was to pull them into RE like normal, and into the event, and create a batch and then not commit the batch.  I wondered if anyone else has similar situations and how you handle processing these?

  • We use NetCom a lot for event registrations.  The fees are brought in as Type Other and are not considered in gifts (always exclude Type Other).  We most definitely commit the events batches!  This will help you determine your ROIs and KPIs for the event.
  • Depending on your gift coding setup you could use a gift type of "Other"  I would still commit the gifts and have them show on the constituent's record as I think this is good information to have and be aware of (i.e. this donor goes to and pays a lot of money for every event so they are a good prospect).  Just be sure to update any reports based on gift type.
  • We just make sure that we don't count money revceived into our event funds as donations. You are receiving cash so I wouldn't use the gift type of "other". Just put it in a fund that you don't count in your reporting. 
  • At my previous job, we had a campaign called "Event" where all of our registration "gifts" went so we could easily exclude them from reporting.
  • In addition to the Gift Type of Other, we’ve
    created a “office use only” Fund for registrations that isn’t
    included in any fundraising totals.

  • We also use a fund/campaign to exclude -- we commit the gifts because even if it isn't considered a "gift" we still like having the history that they've actually given us money of some kind. Shows interest in other events that are fundraising.  Plus, we add them to our mailing list.
