nonconstituent spouse records

Can anyone weigh in with some advice about nonconstituent spouse (relationship) records?  I've inherited a database where some spouses have their own records and others do not, and there is no logic as to how these decisions were made.  My instinct is to make them all their own constituents, but I'd like to hear from others who may have faced this issue.

  • We also have this mixture of constituent/non-constituent spouse records.



    Our criteria:  If there is anything 'significantly different' for the spouse record or we have a specifically different relationship with them, then they get their own record. This can be:  
    • separate email address
    • different address
    • any additional relationships that pertain to the spouse that you want to capture
    • separate individual donation
    • soft credit for shared gift
    • event invitation
    • specific prospect/rating information relating only to them
    Basically, anything that you would record on the spouse that is not on the other spouse constituent record.

  • We enter a spouse as a constituent only if we have a separate relationship with them. For example, if they make donations on their own, or are a volunteer, etc. We find it easier for mailings if we have fewer constituent/spouse relationships.
  • If we have a relationship with the spouse, they have a separate record.  If they did not have a record, but then made a gift (they signed the check or it's on their credit card), we then create a record for that spouse, linking the record and soft crediting the spouse that already has a record.
