Adding acknowledgements as actions?

Hi all

For various reasons, it would be useful for us if acknowledgement letters were saved to a constituent's record. The default behaviour saves the letter code (which allows the templated letter to be recreated from the gift), but we often make changes to the letters prior to sending and these changes aren't saved in Raiser's Edge.

Is there a way to automatically save the exact acknowledgement letter that was sent? Could this be stored on an action?

    We do this as well. In the Word document, go to the plug-ins tab that appears when you open it from RE. There is an option there to save this document as an action. That adds a link to the document from the bottom of the gift and as an action. We set the action type as required which pops you over to the new action tab to put in the type "acknowledgement letter." Let us know if that works!

    2 quick additions to that post: 1. the tab in MS Word is called "add-ins," not plugins. 2. This works if you are selecting and merging acknowledgement letters from the gift tab by selecting your letter under the "acknowledged" field. If you are running bulk acknowledgment letters from RE Mail, you cannot access the same functionality.

    Since we run our acknowledgments in bulk through Mail, it would be time consuming to add each acknow as an action. Instead we have a folder on our Resource Development server called "RE Acknowledgments". We name each document with the date and type of acknowledgments contained (sometimes over a hundred acknows in one doc). Then, if we need to look up the exact text sent, we can check the acknowledged date on the gift, then open that file in the folder on the server and search for the constituent by name or ID.

    We run our receipts through batch and most acknowledgement letters through batch.  Our approach is similar to Helen's. I save file in appropriate folder: 2014 receipts/2014 pledge acknowledgement/2014 soft credit....  To make it easy to find I just add the batch # at the end of the file name (just add to the file name that auto fills).  Has worked well for us if we ever need to verify/check on a receipt/acknowledgement.

     Thanks guys for all your advice. I think saving the full merged doc with the batch number is the way we'll be going.
