Messaging to your participants based on their fundraising progress

Options

 In our call last week, we looked at some TeamRaiser participant performance reports.  We had this FANTASTIC question come up: How can we use this report to send specific messages to people who aren't fundraising at certain levels?

 

There are a couple of ways you can go about doing this. One involves running the report and organizing participants into groups.  The other option doesn't involve the reports at all, but some built in conditional content tools within the email wysiwyg

 

I'll give a quick explanation for option #1, because I actually recommend option #2.  But, I want you to learn about the various ways you can handle this.

 

Option #1 - Report and Group: When you download the TeamRaiser Participant Performance report, you can sort fundraising performance using Excel's sort features.  Within Constituent360 create your groups you want to target your messaging to. Make note of the group ID when creating those groups.  Then, prepare a file for a constituent import that contains a group ID column and run a constituent import to update your participants records so they are in the appropriate group.

 

Option #2 - Conditional Content within the email tool: You don't have to go through all the time it takes to run the report, create groups and upload folks into those groups.  Instead you can use the conditional content tools that are built into the wysiwyg.  This way, when you are creating your email messages targeted at event participants, you can conditionalize pieces of the content to include the appropriate message based on a participant's current fundraising performance.  Here's how:

 

Go to your event > manage > go to the coaching email tab and either create a new coaching email or open up the draft you've been working on. Go to step #4 to open up the body of the message for editing > click on the "If" icon. That's the icon for conditional content.

You'll see a window appear that will let you choose what application you need to insert conditional content for.  Choose TeamRaiser.  Then, choose an amount (a percentage of the goal) that you want to condtionalize for.

Click OK.  You'll be taken back to your message content in the wysiwyg.  From there, you can open up the conditional for editing and insert your content within the various "rules" of the conditional.  The screenshot below walks you through that.

Using conditional content, particularly for event fundraising, is a good practice to get into.  The TeamRaiser application is one of the best within the Convio product suite when it comes to your options for conditional content and you can get quite advanced with it.

 

My recommendation is to test this out,  play around with it and post any questions here.

  • I'm a bit confused about setting the filtering options so that the email only goes to people who have fundraised under a certain amount. I have set it so that people above $100 should be excluded, but then when I look at the audience calculation it doesn't seem to be going to that group.

    Looking at the screen shot you provided, if you look at the bottom section that is labeled "Filters Applied" -- it looks to me like the filter is properly set.  That section on the screen shot says:  "After applying the filter conditions, this message will be sent to the target audience members who:... Participants with less than $100 in donations..."

     

    Since you put that filter in place, the message will be sent using that filter condition.  The groups that are put in the target audience are the initial group ---- at time of delivery, the filters you put in place will be used to filter the audience and only send to those that meet the criteria.
