Creating a duplicate record

Hi folks. Is it possible to create a duplicate of a gift record with all the attributes, soft credits, notes, etc from the original, except of course for the Gift ID which would be different…..but without having to manually re-type everything? Thank you.

    Welcome to the community @Sharon Wilson. I don't believe there is. If you need to create another version of the gift, you'll have to manually enter all of the information, but I would imagine that wouldn't be something that is used often. And if you do, you need to create enough variation between both gifts to make them unique. It is worth noting that there is no way to duplicate certain gift data such as batch numbers. If the original gift was created in a batch, the duplicated gift will not have the same number.

    @Sharon Wilson Curious. Why do you need a duplicate gift on a different record?

    Per your profile you've used BB products for quite a while so I'm assuming you know about soft-credits and how that would appear on multiple record(s).

    RE by default does not have this functionality.

    This can be achieved by using SKY API automation, once created, it's a click of a button to “copy”

    @Sharon Wilson You have some great advice and questions here already!

    A few times a year I've needed to recreate a gift because the gift was applied to a pledge and it shouldn't have been. In theory, you could also export the gift information and change the gift ID.

    For me it is a random gift and copying data with the gifts side by side on my screen works just fine which typically is the volume I'm dealing with. I always give them a note and have a query that locates them so I can share it with our business office as necessary.

    Here is how I change the gift ID as we enter gifts via batch:
    I use the old gift id plus b and the batch number so 19830b50178

    You could create a batch with most of the fields filled with default information and just go down and pull the constituent, but for soft credits and attributes you would still gave to apply those separately for each row.

    Nope, this would be on the very same constituent record. And yes, I'm famiiar with soft-credits.

  • @Elizabeth Johnson Great tips! We're not allowed to add “true” split gifts in our RE, but sometimes a lump sum does need to be seperated after the fact. So I do the side-by-side manual re-entry. Then I track the original batch number in the gift attributes of the “new” gift. I've been adding “-b” as well for the gift ID, just to retain that extra connection with the original transaction.
