Using a company credit card for donation

Options

Does anybody have any policies around accepting credit card donations made from a company credit card issued to individuals of said company? The individual will get the receipt and acknowledgement letter with tax language. But is there a way to prevent this from happening?

    Just a couple of thoughts. I don't know that there is really a way to ‘prevent.’

    Our donation form has the field that gift is made on behalf of org. When it's processed, it goes on org record with person as addressee.

    I think more of the responsibility falls on the company. They monitor, or should be, the charges made on the card and would expect any receipts/donation letters to be submitted.

    If the individual fraudulently claimed the donation on their form, the IRS would be after them IMO. You issued a receipt to the party that made the donation based on the information provided.

  • @Kellee Robinson You could have separate donation forms with a receipt attached to the individual one and no receipt attached to the company one (in separate campaigns).

    Or what we do, is we have a conditional in our receipt that changes the copy on our receipt depending if it is an individual donation or a company. So the receipt for an individual says this is an official receipt and the company one says this is a company receipt.

    We used to have the forms separate but sometimes companies wanted a receipt so we combined them into one form and now use the conditional in the receipt. We worked with Yeeboo Digital to add the conditional to our existing receipt template.

  • @Kellee Robinson I've seen some organizations add a field that says something like, “If this gift is on behalf of a company, please list the company name here” and then use that to link the gift to the organization rather than the individual.
