Addressee/Salutations - Copying the Table from the Primary Record to a Spouse Only Record

Hi all,

We recently discovered that the spouse only records have their own addressee/salutations fields. Our org has never filled these in before and we are now realizing we need to. (We recently started using the events name tags function which does not automatically detect the main records address/salutation table for the dropdown options for the guest spouse.)

I wonder does anyone have a strategy for copying the primary record's Addressee/Salutations table to the spouse only record's Addressee/Salutations on the General 2 tab?

    @Rachel Kauer - based on how Add/Sals are set up within RE, ‘copying’ is a bit tricky. Your best bet is to set the Add/Sals through an import. You'll need the Add/Sal report (Config > Add/Sals > File > Preview > Add/Sal Report > Print/Download). The associated IDs/numbers listed next to the Add/Sals on that report are what's used to communicate to RE which Add/Sal you want listed on a record. I recommend choosing an existing formula over putting in text, as the formula will update as name information is changed on either record spouse/primary.

    @Rachel Kauer Import is a good option as @Austen Brown described, especially if it's a large # of records. “Copying” to a spouse threw me though - I wouldn't want “Bill Smith” as the addressee on spouse's record. I would want “Sue Smith.” As she, said, pick the format you want and avoid ‘editable.’

    Is this an issue for a few records or quite a number? If it's a few or occasional loading from a default set might work. Shift + F2 on the record can load a selected default set.

    If it's a larger group but you can pull them in a query and you're only adding a few formats, global add could be another option.

    Thank you, I was totally unaware of the default record function! This really out to help with spot cleaning until we start our Addressee/Sals overhaul in January. Unfortunately on almost every record, there's a minimum of 3 editable fields. My org had P'XX and GP'XX in addition to alumni class years for parents and grandparents. Not something that is on the table to change unfortunately and it creates a right mess…

  • @Rachel Kauer I know you said changing the tags wasn't on the table however here is some food for thought on that. Depending on where you use the Addr/Sal with the tags - if it is only for merges that are happening outside of RE and you are exporting to excel you could store the tags in an attribute/custom field or a separate Addr/Sal and either use Power Query or a concatenate formula to bring them all together. Other options might work too. Really depends on how you use it and I try to avoid the editable like the plague and only when the constituent really has a personal preference and has let that be known to our org.
