How does your org indicate that an event registration was cancelled?

Options

My organization is just getting started with Raiser's Edge. We'll be using the Events module a lot as we hold many events that people register and pay for. One of the things I notice is that there isn't a built-in option for noting if someone cancels their registration. Obviously one could delete the record, but we want to retain that information.

I feel like ideally the Registration drop-down would have “cancelled” as an option, but it looks like the choices there (do not register, not registered, registered) aren't customizable. I'm thinking of suggesting that we customize some of the options in the “Status” drop-down menu instead but am curious what others do.

How do you indicate that an event registration was cancelled at your organization?

    @SJ Larkspur Welcome to the BB Community forums.

    In db view, we use the Status field. Ours is based on a table that you can add entries to.

    I'm assuming that field is not available yet in web view. Didn't check. :)

    if someone paid for an event and cancel, they participant record is kept and registration = not registered (we may put note indicating reasoning).

    if it is a free event, we just remove them.

    @SJ Larkspur - Events is one of the areas where Web View is better than Database View. I recommend you update the Registered/RSVP status from WV:

    I have to partly disagree with this and want to make sure original poster knows the implications.

    RE NXT webview Event management does have A LOT of improvement over database view event management, however, Blackbaud did not do a good job in bridging the gaps.

    Webview does not support database view's attribute, while support a new concept of “option” (event option > participant option). However, “option” is not supported in database view, so meaning any management needed from database view that requires database view will be a problem, for example:

    1. webview does not support seating module
    2. if org uses Online Express, custom questions are answered into the participant attribute, which will never show on webview
    3. if org uses RE NXT event registration form, and runs more than one event at a time, there will be huge trouble handling additional donation and ticket purchase as there is no indicator that can be queried on (from db view) or report on (webview list) for the gifts made via certain event.
      1. we notice this when we started to use RE NXT event registration form as pilot. We use appeal to indicate what event gift came in from, so for us to have no way to know what registration form (that helps indicate what event ID) the registration fee/additional donation came from is totally unacceptable. I haven't got to write a post about this or search Idea bank to vote on what may be there, but Blackbaud really made a big mistake here.

    @Alex Wong - I agree there are holes in how the data translates back to database view, in particular ‘participant options’ vs ‘participant attributes’, which makes running reports in the opposite view difficult.

    Thank you for the links, I voted on all of them.

    What is frustrating is, the oldest one dated back to 2020, and with 70+ votes..didn't get worked on.

    As for seating, I have my own webapp for that already, but great links for others who can use it.

    I think a lot of people will agree with you, as I do too.

    Blackbaud is slow to come up with essential functionalities on webview, and due to this slowness, vendors has stepped in to create these functionalities, some free with limited usage/features, some paid. And there are many who opt-ed to venture into the world of no/low-code development using Power Automate. When Blackbaud finally introduced their own way to do this, some adopted, some didn't b/c they get a better feature that is more customized to their org's need already through their own built or vendor app.
