Posting to GL when not using FE

Hi All,

I'm new to RE and I was wondering if there are any benefits to posting gift to the GL if we are not integrated with FE? We currently don't post any gifts to the GL (and it looks like we never have). We do include the corresponding GL # that our finance department uses when setting up a Fund. Given that, should we be posting gifts to the GL? Any benefits or drawbacks to doing so?

  • Hi @Tioga Anderson - I have been using RE for over 15 years with two organizations, and the Finance team uses different software for reconciliation between RE and GL#. We sent Finance the corresponding GL# for the donations as well. I have never posted gifts and haven't had any issues. I am looking forward to hearing from others on this subject.

    Marking gifts as posted when not integrated with software would be totally optional.

    The two benefits that come to my mind are 1. you know which gifts have been recorded/reported on in financials, 2. posting limits the means to edit a gift / make changes. This IMO is important to ensure accurate financials.

  • I don't recommend posting unless you are posting to FE. If you change your Camp, Fund, Appeal, Package structure and want to go change previous gifts and they are posted, the only way to change gifts is by hand.

  • Actually, if you are not posting to FE then running the unpost gifts plug-in is much simpler--no need to coordinate with FE and figure out pros & cons to individual adjustments vs. the mass unpost through the plug-in. Meanwhile, with gifts posted, you have the control @JoAnn Strommen mentioned.

    @Barbara Kunkel and @Tioga Anderson and @JoAnn Strommen, while this is an old discussion, I haven't been able to find what I'm looking for elsewhere, so I thought I would post here.

    Like others in the thread who don't use FE, we never used to post gifts in RE. However, last year, our outside auditors wanted this step as part of the reconciliation process. We worked out a lot of kinks as we got the system set up, but now that this year's audit is underway, we have a difference of opinion among staff members about the timing of posting.

    As others have mentioned—here and elsewhere—it is tedious to make adjustments once gifts have been posted.

    So I'm looking for some advice from those who do post to GL:

    • How long after month-end do you post?
    • How long after year-end?
    • Does anyone wait until after their previous year's audit is concluded?

    @Carrie Powell Both orgs I've been at have used FE so need for posting to be more immediate for accounting to do their thing.

    Previous org if I remember correctly posted a couple days after month end.

    Current org posts every week, even twice a week in December. I requested the post period be 3-4 days out from gift date should we need to make corrections or change anything we find as deposits are reviewed.

    Gifts can be adjusted even after posting. Our procedure is on adjustment screen to use original date of gift (told that puts gift and adjustment together on post report) and check box to use adjustment GL post date. It will pull in next posting. Seems to work well.

    Posting from RE to FE is done regularly in bi-weekly interval. Adjustment of gift does happen sometimes and can be done manually 1 by 1 or can be done in mass using Import-O-Matic importing of adjustment functionalities. (if you have IOM).
