Looking for users of Raiser's Edge NXT Events

Options

We are in the process of converting to Raiser's Edge NXT. One piece of RE NXT that we have the least amount of information about is the Events module. We are looking for examples of higher education institutions that are utilizing the Events module and our account executive has recommended we seek input from the community.

If you use the Events module, we are interested in hearing more about how it works for you.

Similarly, if you do not use the Events module, we are also interested in hearing why it does not meet your needs.

Thank you in advance for your sharing your thoughts!

@Dylan Wood Welcome to the BB Community forums.

We have the events module. I have mixed review.
We used web view registration for an alumni event several years ago. We ended up with so many duplicate records created that clean up was a nightmare. I worked with support helping to refine their algorithm as many matched on various data points with only minor discrepancy. Supposedly their duplicate screening has improved. We have not used a web event registration page since.

Viewing events and who is registered in web view is much more user friendly than in database view. Ability to see lists, emails, phone etc., check all - mark all as attended - those functions are a great improvement.

We have issues pulling event lists that have attributes like meal selections as those fields are not easily pulled via web view if available somewhere at all. We are also not able to view or readily pull list of registrants with their class year and major. Some of these functions just work better with reports from database view.

Just a few thoughts. At some point we will try an event with a web view registration page. Just not a 5-year reunion with 400+ registrants.

The duplicate function has improved, thankfully!

They recently made a change to the Work with Participants section that makes it look more cluttered by moving "Guest of/Host of" underneath their name. Not a fan of this. All of the other things JoAnn cited are good, though.

BB also added a way to get meal selections and other “custom” fields, but it isn't very easy to use yet. It does let you track it, but to see it you need to add a column and this defeats the purpose of them moving the “Guest of/Host of” since that was supposed to “free up screen space.”

I still think it isn't the best option if you want the guest experience to be frictionless and have a good look to the sign up page. The management in the back is lacking a little, and you definitely need to clarify the tables so they match the language you want to use.

  • @Lee Grisham we use Events a lot in webview! We don't need to see as much detail as @JoAnn Strommen, however. I can imagine that is an issue. I find the lists helpful as you can see email, phone, participant level etc. You can also create a constituent list from the participant list to use to send an email through NXT. I also like the customization ability on the registration forms.

There were a lot of issues when Events first rolled out in NXT, duplicate management being one of them, but they are continuously improving on that!

Be happy to answer any other questions you may have. If you're going to bbcon, there are two “Ask the Experts” sessions (Sunday and Thursday) where you can pick our brains!

@Lee Grisham What column needs to be added? I'm not seeing an option for ‘custom field’ in available columns. Would love to be able to have President's office pull their event info themselves from web view. Currently have to pull for them from db view.

  • @JoAnn Strommen under the event, you can add them as Participant Options

    70b953ba5f247d8a8009cda26e48be7a-huge-pa

Then you can add that Option name as a column in the Work with Participants.

  • Found out today that Event Capacity, Online Registrations, and “Attending” RSVP Participants do not communicate in any way, shape or form. If someone drops out, you will need to adjust the Online Limits to allow additional registrants!

Please vote for my idea to fix that:

I'll be presenting how we manage our events in NXT at the Blackbaud Conference, hope you can join in

  • @Elaine Tucker I hope this is a session they make virtual!

  • @Elizabeth Johnson I may know more about that next week - thanks for the feedback :)

  • @Elaine Tucker
    Hello!

Is there somewhere i can view your presentation. We are new to using events and i would love to know if there is a way to make this platform work for us. Do you still need other platforms such as cvent? We do also have greater giving.

  • @Dylan Wood
The event module in NXT has limited functionality for users in Canada. We still do not have event forms or the ability to create certain event reports in RENXT. We have integration with Eventbrite and it was OK until they changed their pricing. We are using Trellis and have been extremely happy with their product.

  • @Marquetta Scruggs my BBCON session was recorded, so you should be able to see it in the virtual space. If you need a copy of the slides let me know and I'll be happy to send them;

  • @Elaine Tucker Thanks Elaine! I so look forward to watching it. Best,

    Elizabeth

  • @Elaine Tucker. I would like the slide deck and session recording if you can send them along to me. I was a virtual attendee at bbcon so I don't have access to all of the sessions. Thanks, Annette

  • @Elaine Tucker I've been looking for it in the virtual sessions and couldn't find it. Would love your slide deck.

  • @Elizabeth Johnson I couldn’t find the session either, I’ll send my slides on Wednesday Jan 3

  • @Elaine Tucker Thanks so much and Happy New Year!

  • @Elizabeth Johnson attaching now, this was mostly a visual guide for my talking points, so if you need additional background, feel free to ask additional questions. The basic premise is that we are using donation forms for collecting event SPONSORship fees, using registration forms to collect “general attendees” and creating dedicated registration forms for each sponsor that has a capacity of the number of guests that are included in their sponsorship.

  • @Elaine Tucker Thanks so much! I look forward to diving in.

  • @Elaine Tucker I'd love to see this as well! alexandra@cfcrights.org

Hi - just saw this and thought I would chime in. We use NXT for events but generally do create them in the database view. I do like running reports in webview but NXT events doesn't have the full functionality or options that is currently offered in database view.

Webview does make it easier to update attendance (if you pre-load those invited) and then to update those that actually attended. But I do still feel you need the database view as well.

thanks for the other comments - very helpful.

  • @Annette Rurka not sure if you saw the attachment added to so adding here to make sure you receive it
