Non Degreed Alums

Options

Do you track alums who attended your school but did not graduate? I'm curious how you track/enter them in Raiser's Edge if you do.

  • We use an attribute to note the graduation year and enter a comment of did not graduate with the date they left.

    It's an organizational policy whether you do or you don't. I think either way you decide, it's important to document exactly what an alumnus/alumnae is, and what they are not.

  • We count them as alumni whether they graduate or not. We enter all information just the same as any graduated alumni – except, of course, that the “Graduated” date is left blank. They still get a “Date entered” and “Date left”, and their class year is the year they would have graduated - which keeps them in the same grouping as their classmates for purposes of alumni reunion invitations, etc. We use the Education “Status” field to denote graduates.

  • We so what Faith does. We use the education record and use status to show whether they graduated or left early. We also give them the Constituent Code of Former Student, but they get invited and appealed and many of them are still very involved with our school. I wouldn't make additional attribute. The education record handles everything very nicely.

  • Very similar to Faith and Karen with some minor exceptions listed below.

    • Constituency code of ALN - Alumnus/a Non-graduate
      • This keeps them right next to our AL Alumnus/a when sorting lists as they are for the most part treated the same.
    • The date left is only populated when someone doesn't graduate
      • Very helpful if you show that column on the relationship tab in the database view
    • Add an education status indicating withdrawn
      • A corresponding education attribute with a table of options
    • If they didn't complete one semester they also have an education attribute reflecting that.
      • Useful for some external surveys we do.

  • Yes. We use the same constituent code as we do for graduates…Alum. I've been pushing for a different code for them but I haven't had any success yet. We have found that the non grad alums do not engage and do not make gifts but we still send them everything….but that's not my call!

  • I've worked in a few high schools and we always had a separate Constituent Code of Alum-NonGrad. Which was great because most of the time you are not including them in the same way and it's easy to leave them out with just a Constit Code.

    But if you wanted to have them as Alum as the Constit Code I would suggest using the Education Status field. Grads would have Status of Graduated and the ones that left are NonGrad. Which would be different from withdrawal or expelled or however detailed you may want to be about their exit.
