Cleaning up past gifts - attributed to the wrong constituent

Hi Folks,

As we chip away at database cleanup, some of my development team has noticed gifts that are attributed to the wrong constituent in past years. we use Financial Edge, we for gifts in the current fiscal year we will use Blackbaud's strategy from the knowledge base (adjust the gift on the wrong record down to 0, add a new gift on the correct record). Our accounting tells me that Raiser's Edge and Financial Edge will not allow us to correct gifts with this method in closed financial years, and that once a year is closed there isn't a way to correct situations like this. The workaround in the past has been to soft-credit the gift to the correct record, but I don't care for that solution if I can avoid it. Is there a way to correct wrongly-attributed gifts for past years without messing things up for accounting?

  • Yes, it is a well hidden little gem!
  • But if you don't have RE NXT, you can use the export/import option. Export every single gift field you can think of for the "bad" gifts, clean up the data in Excel, import the clean gifts back in, delete the dirty gifts, and notate the heck out of it.

    If FY is truly closed, any adjustments/changes you make in RE you could mark as not post. Should not affect accounting.


    In moving the gifts to different records I would definitely as Heather MacKenzie‍ said "notate". While it may not seem important for smaller gifts, it is definitely the true for larger ones. And with cases like these it often resurfaces when someone is looking up some gift detail.

    So glad I found this thread - so much easier than what I've done before! Wondering if you know if there's a way to use this method but also have RE and FE reconciled so that - if I do this after the gift has been posted - they'll have the gift attributed to the correct record's ID instead of the ID it was originally recorded under?

  • Hi, is it possible to change the fund id and appeal id for a gift that was committed in a batch? The batch has not been posted yet. The gift is greyed out in the record and in the batch. Adjustment doesn't allow an option to to change the fund id and appeal id.

    Go to the gift record on the constituent record. If gift is not posted you should be able to do some edits. If not on the Gift tab, go to the Split Gift tab. Even if gift is not split, the details of the gift are recorded here and can be edited.
