Export does not match Query List

Options

I've gone through the knowledge bases on this: 43675 and 65118 and everything seems to be in order. Does anyone else have this issue? I'm missing about 50 constituents from the list in the export and I don't know why.

  • Check that you are not excluding anyone with the Head of Household or First Constituent Found criteria in the export.

Another place to look in the export would be the filters tab. You might be limiting output there.

Check that the query doesn't contain duplicate rows.

I didn't have time to check the knowledge base article numbers you posted, so I apologize if I have reiterated what they contained.

  • Thanks for your quick response Larry! I know it is not Head of Household of First Const. Found as I am exporting both constituents separately. For the Filters tab - do you mean the Output? I'm guessing not, as I use this export for other query lists and only have trouble with this particular list. I'm going to look at the query list for duplicate rows - great idea. In this particular query list, I am suppressing another list - so my guess is it has something to do with that.

  • If it's a gift query, check that your export is set with the same gift date range and gift type(s).

  • Hi Kristi,

Was this ever resolved? I'm experiencing the same issue.

  • No Anna! I'm still having issues with this one list that I do quarterly!

  • Are you getting your count from the export when you open the export in excel (as .xls or .csv) or are you noting the count as RE displays the # in the dialogue box when export completes? What column are you doing your count on in excel? Are there blank values in that column. If you export your query results and de-dup by ID# and the count you get from the query in excel does not match the count you get in your export that uses this query (and you are not using HOH in export), I would work backwards and run another export using same query, only export the columns for ID# and perhaps the name column (no added export criteria/filtering in these columns). If the count now matches with this export, then it seems you must have some columns filtering criteria in the original export. I also do not see any options under the Tools, Export Options or User options that would cause the variance. If the count does not match, do a vlookup to the de-dup'ed query export by ID to see which ID's are in the query and not in the export results.
