NXT Batches and Acknowledgement Letters

How am I suppose to create letters from batches committed on NXT? I can see the batch on the back in, but when I try to use the mail merger the batch doesn't even show up. ?

  • You'd have to use a query to do the mail merge right? Does a query get created when the NXT batches are approved? If not, I guess you'd have to create a query using that batch number and go from there.
  • I'd played with it a little this morning. I have to change the batch category to general to pull it. That didn't do anything. 


    I notice I have to create a list in NXT to save it as a query. I feel like that's too much work. I think it should automatically create a static query to make it a little bit easier to pull for mail merging.

  • The option to create a query for each batch is something you can turn on/off in database view. If it is not available in webview then it just isn't. But it is a giant waist of resources to have a separate query for each batch - they are static queries and create tables making your database larger than it needs to be. Just have a single query with a batch number = <ask> and use that for your ackn letters. each time you run it, just fill in the batch number you want.
  • I have a query I use but it can not find the Batch that was created in NXT. I moved the batch to the General Category as someone suggested but I still get "No records match criteria". Even just entering the gift date does not work.

    When you say you can not find the batch that was created in NXT what do you mean? You say you moved it?  You can easily create a query of gifts in batch XX with batch # from NXT.


    My guess, if no records match either your criteria does not pull in the gift (gift date/post date, filters for fund...), the gift is marked do not acknowledge/receipt or it is already acknowledged/receipted.
  • When I create Acknowledgment Letters in Mail I use a
    query that <asks> for the batch#.  I entered the # and
    clicked Merge to create letters. It said "No records found to match
    your criteria". It was a batch created in NXT. I do see it in Batch
    list. One of the help comments suggested moving it to the General
    Category under Batch.

    Open the query for that batch to verify it contains the gifts. I don't think the issue is that it's not finding gift records from the query but rather that it's one of the issues below.


    Then go to one of the gift records and check the acknowledge field. Does it read Not Acknowledged? 


    Then in your acknowledgement set up are you pulling all dates? Double check SC selection Do you have any filters? Gift types? Go through each tab here. Perhaps some was accidentally changed.  
  • I don't use batch queries for letters, but I have a letter query that pulls gifts that need acknowledgment. That might work for you.
  •  Paula Beckerle‍  I had this problem, and the issue was that a letter type was not selected in the NXT batch.
  • We use a simple dynamic query that is based on Acknowledged?=Not Acknowledged and the date (to exclude previous years). Once you run your acknowledgment letters, simply be sure to indicated gifts should be marked 'Acknowledged' so they don't show up in your query again. We also allow the Mail feature to create a static query of the acknowledged gifts just in case there is an error in running the letters, we can use the static query to globally mark them 'Not Acknowledged' again.
