Alumni Reunion Bio Book - IDEAS!?

Options
Question for all of your who have alumni constituents.

Quick background: IES Abroad is not your typical higher ed org. We work with a consortium of colleges and universities and enroll their students in study abroad schools, programs and internships. The least amount of time they would be with is one semester, the most 2 years. Over the past 7 years we have been developing an advancement department and are starting to engage our alumni. We have hosted alumni reunion weekend events (abroad - Berlin, Vienna, Nantes, etc) and in preparation for that they like to send emails to classes to:

1. Gauge/record interest in an abroad reunion

2. Keep track of those who are interested, then who later went on to register for said event

3. Send out a questionnaire asking the alum about their time abroad (favorite memories) what they've been doing since, etc.

4. Responses are often essay-length and are collected in a word doc then pasted together to create a bio book

There has to be a way to use something in BBNC that we could send out a survey or something asking if they're int rested and be able to update and track that in RE. There must be a few different options for the alumni questionnaire, too.

Does anyone have a similar scenario? If so, what is your process?

Disclaimer: I am very new to using BBNC--only since August of this year and have no formal training. Used to be in BB Support for RE, so I know RE like the back of my hand, and understand only the integration between RE and BBNC.

THANK YOU FOR ANY GUIDANCE!

  • Hey Cameron! I'm actually curious to hear how you handled this myself. Were you able to find a creative solution? If not, I'll be happy to ping a few other community members and see if we can get you some more ideas.

    Hi Cameron,

This might give you a starting point for ideas, also depends if you want users to login to NC or not:

1 - Create an event in RE named something like "2017 Reuion - Save the Date" linked to NC event registation part to track interest and then another event for the actual registrations.

1 - Create Bio part using attributes to track what reunions they are interested in attending

1 - Create survey part in NC that lists reunions for them to select what they are interested in attending which could also include number 3 below.

2 - RE queries to compare above options.

3 - Create survey part in NC, this can then be linked from email and/or have the registration link for event take them to this page after submitting registration.

4 - Again survey might be an option we use Notes/News part that links to RE notepage for Alumni to update their news. Main downfall of notes is they cannot add images. Document upload part for them to upload word doc/pdf etc

Been a while since I looked at survey so not 100% sure what options it has.

Sorry that is a rushed reply, on my way out the door but hopefully is of some use.

    Hi Ami,

Thanks for the response! We used a functionality on our main site (not sure of the product, but not BBNC) to have our alumni submit submission forms with their memories and pictures. These were then collected manually from the form and added then formatted into a word doc.

As for tracking interest in the event, the fundraisers sent out surveys via Survey Monkey. I manually added interest as an attribute to their records as a constituent attribute.

The actual event itself is an RE event record that connects to an event/registration form in BBNC.

Wow! Really cool. I love how you were able to get creative with all of the products you had available to pull off what you needed. Thanks for sharing.
