Batch entry of offline registrations to TeamRaiser

Right now for various of our events we have offline registration forms (walk papers) that a person can fill out to register as an individual or a team without using the websites. The online form matches the offline form question for question (for the most part). We would like to be able to take all the offline forms and batch enter them into a Convio TeamRaiser in order to get a complete picture off all registrants (online and offline) during reporting. The problem occurs that our registration forms are divided into two uploads in Convio.

1. Convio Contact Info (Biographical Info)

2. Convio Survey Registration Questions (custom built registration questions by blueprint and by event)

So here is the process: A volunteer at the event or without an internet connection, will take all the offline registration forms and enter them into a excel spreadsheet or Access database. We generate a CSV file from that Excel spreadsheet or Access database to upload to convio.

The issues are:

1. The contact info and any custom survey questions need to be entered into two separate uploads

2. In order to associate the survey questions to a constituent we would need to generate a constituent ID first.

3. Then we would need to pull a report from convio with all the new constituent ids and then have a volunteer manually associate the Constituent IDs them with each of the survey responses.

    • 4. Then we would need to upload the survey responses to Convio.

      In addition to that each of these custom survey questions in the survey is identified by a Question ID. These question IDs vary from TR to TR. So we would need to pull a report from convio with the question ID per teamraiser and manually associate these ids per question before uploading the survey responses in the CSV to convio.

OY. So for one registration form we would need to upload the contact info --> download the new cons IDs --> download the Question IDs --> manually associate cons IDs and Question IDs in the CSV --> then upload the survey responses and hope there is no error in any of these that cause the batch to fail.

Possible solutions:

1. Create a process where we can create an unique identifier for offline constituents and use that unique identifier to associate the Survey questions to the contact form.

2. Create a method of setting question ids per blueprint so that all teamraisers for the same blueprint have the same question IDs for registration survey questions.

Unfortunately the issue is that our previous vendor had a methodology to do this rather easily and in our move to convio we lost this functionality. Any assistance in this matter would be appreciated.

    I know that it's been a really long time since you put in this question but I think your feed back would be great to drive back into a feature request.  I would suggest you get this on your feature request list and see where it falls in the priorization scheme.
