Summary/objective:

The Development Operations Coordinator (DOC) plays a critical role in ensuring the accuracy, efficiency, and effectiveness of Warren Village’s fundraising operations. This role is responsible for donation processing, donor stewardship, gift acknowledgment, financial reconciliation, event support, and other administrative tasks that sustain the organization’s growing development efforts. The DOC will be instrumental in maintaining meticulous data integrity within the CRM, ensuring that donor records are up-to-date, gifts are processed accurately, and all donor interactions are tracked appropriately.

Essential Functions and Responsibilities:

  • Gift Entry, Acknowledgments & Reconciliation
    1. Process all incoming donations, including gifts in kind, in the donor database (CRM), ensuring accuracy and timely entry of donor records, pledges, and gifts.
    2. Generate and send donor acknowledgments and tax receipts in a timely manner, leveraging good judgement to ensure personalized stewardship practices.
    3. Maintain the integrity of the donor database, including data cleaning, gift tracking, and updating donor records to reflect engagement and giving history.
  • Donor Database Administration
    1. Support donor stewardship efforts, such as managing recognition lists, tracking donor touchpoints, and coordinating stewardship mailings.
    2. Prepare donor reports and lists for internal development team use, board updates, and external reporting.
    3. Assist in preparing and executing fundraising campaigns, such as mailing list segmentation, donor outreach coordination, and follow-up tracking.
  • Administrative Support
    1. Assist in the execution of fundraising and stewardship events, including RSVP tracking, event logistics, and on-site support.
    2. Manage department voicemail inboxes and respond or forward as appropriate.
  1. Anticipate and compile the materials needed for donor meetings, site tours, etc.
  2. Assist with site visits, tours, and public presentations on behalf of Warren Village as needed.
  3. Support general office and team-wide development functions, ensuring smooth day-to-day operations.
  4. Participate in strategic planning, development team meetings, and budget meetings.
  5. Attend relevant meetings and conferences as needed.
  6. Plan, coordinate, and execute team building activities.
  7. Other duties as assigned.

  • Ability to maintain strict confidentiality.
  • Proficiency in Microsoft Office Applications including Excel, PowerPoint, and Word.
  • Database management experience.
  • Significant detail-orientation and accuracy of work.

Minimum Qualifications:

  • Associate's degree from a two-year college or technical school in Business, Marketing, Communication, or other related field; or 4 years of related experience may be substituted for education.
  • One-year related experience in an administrative position, preferably in a non-profit development office.
  • Valid driver’s license.

Required/Preferred education and/or experience:

  1. Bachelor’s degree from a 4-year college or university in Business, Marketing, Communication or other related field.
  2. Three years of related experience.
  3. Demonstrated knowledge of Raiser’s Edge database.

Work Environment: The working environment is that of a typical office setting. The employee is occasionally exposed to moving mechanical parts with regards to filing cabinets, printers, and computers, etc. The noise level in the work environment is usually quiet to moderate.

Physical Demands: While performing the responsibilities of the position, must constantly be able to remain in a stationary position 50% of the time; occasionally move about inside the office to access file cabinets, office machinery, etc. Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer. Frequently communicates information and ideas so others will understand; must be able to exchange accurate information in these situations. Must have the ability to observe details at close range.
