Overview

With this release, clients can choose to sell Membership within the eCommerce product.  Previously, clients could only sell Membership via a Donation form.  When clients choose to sell Memberships via eCommerce, they can collect registrations for Single and Dual Memberships within a single transaction.  Clients can retrieve the data regarding Membership purchases in a new report in eCommerce reports.



The Membership functionality within Donations remains unchanged and is still available to clients.

Key Features

  • New Registration Option in eCommerce:  This new feature doesn't require Memberships.  It can be used to collect additional registration information on any product you create in eCommerce.
  • Membership integration:  Clients can associate an eCommerce product with an existing Membership Type or create a new Membership Type to sell via eCommerce.
  • Collect Additional Registration: Clients will be able to collect registration for the primary purchases and can also collect registration for the other people (secondary registrations) whom the Memberships are purchased for.
  • eCommerce Purchase Report: New report specific to the addition of this feature that will show who purchased the membership and who the membership was purchased for in the cases of a “Dual” or “Child” Membership.  The report is labeled “eCommerce Membership Purchase Report” and can be found in Fundraising àeCommerce à eCommerce Reports tab.

Use Scenario #1

Client Cassandra works for a museum that has several different types of memberships.  There are Single Memberships (1 adult), Dual Memberships (2 adults in the same household) and Child Memberships that adults can buy as gifts.  Cassandra would like to be able to sell these memberships and collect the constituent data for each of the memberships.

  • Cassandra works with her Convio Account Manager/Support contact to enable this new feature once the Vernon release is rolled out.
  • She navigates to Fundraising --> Donations Management --> Membership Types tab.
  • Within Membership Types, Cassandra creates the 3 types of Memberships that her organization has.  If the Membership Types already exist, the client can skip this step and go to eCommerce.
  • Cassandra then navigates to eCommerce and creates an eCommerce product that will map to each one of these Membership Types
  • She creates a product called Single Membership. 
  • She indicates it is for a single registration
  • She selects the fields she wants to collect from the constituent during the registration and determines which are required.
    1. She selects the Membership Type to associate with this product
    2. She indicates the expiration of the membership
    3. She modifies the labels that will appear with this option
    4. And then she publishes this product.
  • She creates a product called Dual Membership.
  • She indicates that it is for Dual registration.
    • Then she follows the same steps as 1-5 above.
  • She creates a product called Child Membership.
  • She indicates it if for Single membership
    • She follows the same steps as 1-5 above, with the additional step of indicating it is a gift and defaulting the option to “yes”.
  • After creating all the products she needs to sell the memberships she has, she publishes the store.



Use Scenario #2

Mary comes to the Museum Membership Store to purchase memberships for her family

  • Mary selects a Dual Membership for herself and her husband.  She enters the data in the fields requested. 
  • She then selects Child Memberships for each of her children and provides their names (but not email addresses).
  • She then goes to the check out and fills in her billing information to complete the transaction.



Use Scenario #3

Cassandra would like to see how many people have purchases Memberships with the new eCommerce functionality.

  • She navigates to Fundraising à Donation Managementà eCommerce à eCommerce Reports tab.
  • She selects the eCommerce Membership Purchases Report in the drop down menu options to “Create a new report”
  • She selects the parameters of her report and runs it to find out who purchased Memberships via eCommerce and for whom.

Limitations and Out of Scope Features

Multiple Membership option:  The ability to offer “multiple” memberships in a single transaction will be planned for a future release.



Client Impacts

Clients who do not wish to use this product can safely ignore it because it is not enabled by default.



Clients who have this feature enabled will see a new step in the process navigation for creating an eCommerce Product.  This step is Step 8 --> “Registration Configuration”.  When clients come to this step, they will determine how many registrations to collect with the product they are configuring.

  • If this is a membership for one person, they will select “Single”.
  • If this is a membership for 2 people (usually in the same household), they would select “Dual” which will provide 2 sets of member fields on the constituent-facing page.

Feature Configuration

Convio Administrators will enable this new feature within eCommerce --> Global eCommerce Options --> Convio Only eCommerce Options --> Step 14 --> "Enable registration information for products in eCommerce".  Checking this check box will enable a new step in the process navigation.



FAQs

Can this only be used for Membership?

Although this feature was developed to provide tighter integration with Membership Types, this can be used for any product that you would like to collect registration for.

How many registrations can you collect in "Dual"?

The Dual registration offers the option for collecting 1 additional set of constituent fields so you can have 2 total with "Dual".  However, you can include additional "Single" type products and offer these.
