MultiCenter: Winter '10 Enhancements

Options

Feature Summary

Release: Winter '10

Author: Kevin Suer

Overview:

The Winter ’10 release provides five key enhancements to MultiCenter that focus on: a) giving Center Administrators fuller administrative control within their Center(s), and b) improving automation in assigning and managing constituent Center membership.

Key Features:

  • Center Auto-Add Contacts: A new option has been added within Convio Query that allows you to use Query results to add contacts to a Center’s Member group on a specified periodic basis (daily, weekly, monthly, or annually).
  • Private/Protected Centers: Two new SDP options allow you to designate the members of specified Centers as exempt from the MultiCenter Zip Code Mapping task.
  • Center Level Duplicate Finder: A new task provides Center Administrators with the ability to find and manage duplicates from only within their Centers.
  • Administrator Security Group Management Permissions: A new permission type enables you to assign permissions to Center Administrators so that they can create and edit Administrator Security Groups (ASGs), as well as assign Center-level permissions on the ASGs of a particular center.
  • Split System Administrator Permissions:Three new permission types, and corresponding new roles are now available for Center Administrators to perform administrative functions for their Centers that were previously available only to Site-level administrators who had System Administrator permissions.  These include:
    • URL Shortcut Management
      • Manage URL Shortcuts
      • View URL Shortcuts
      • No additional permissions
    • Administrator Security Group Management
      • Manage Administrator Security Groups
      • View Administrator Security Grups
      • No additional permissions
    • Mail Merge Management
      • Create Mail Merges
      • View Mail Merges
      • No additional permissions

Limitations and Out of Scope Features:

The following related feature requests were considered, but not included in the Winter ‘10 product release.  These will be considered for a future Convio product release.

•    New Center Level permission to view AWS stats reports for selected Center data.

•    New Interest Administration permission type that is analogous to the “Group Administration” permission type.

Site Data Parameters:

The following new Site Data Parameters were added as part of this project.  Please contact your Convio Support representative to change the default configuration for these Site Data Parameters.

  • CONS_AFFILIATE_PRIVATE_CENTERS: Specify private centers as a comma separated list of center IDs. The Cons Affiliate Assignment task will ignore contacts in these centers when making center assignments based on Zip codes.
  • CONS_AFFILIATE_PROTECTED_CENTERS: Specify protected centers as a comma separated list of center IDs. The Cons Affiliate Assignment task will ignore contacts in these centers when assigning centers based on Zip codes, unless a contact is also a member of one or more non-protected centers.
  • QUERY_ALLOW_CENTER_ADD: (TRUE/FALSE) This SDP controls whether the Advanced Query 'Use it' function allows the user to add the contacts from a query result to a center one-time only or on a recurring basis. Note that this feature does not affect any existing Group/Query rebuild relationships.

Client Impacts:

All features in this document will be available to all MultiCenter clients.

FAQ:

What options are available for Protected Centers?

There are three different options for how to configure Centers relative to the MultiCenter Zip Code Assignment option.  These options are:

1.    Do not ignore any contacts (default).

2.    Protected Centers: Ignore all contacts who are members of the specified Center(s), unless they are members of a non-protected Center(s).

3.    Private Centers: Ignore all contacts who are members of the specified Center(s).

What permissions are required to run the Center Level Duplicate Finder Task?

The Center level duplicate finder task requires that Center Administrators be assigned a role from the new “Center-Level Duplicate Finder Task Management” permission type.  The following roles are available:

  • Create and Run Duplicate Finder Task (Center-Level): This role allows administrators to create and run the Center-level duplicate finder task.  Administrators with this permission are able to resolve duplicates that are found with the task based on sufficient Center-level Contact Management permissions.  For example, if a Center Administrator does not have the ability to view, edit, or delete Center Contacts, then he or she will not be able to use the results of the task to manage duplicates because these are required Contact Management permissions.
  • Use Duplicate Finder Results: This role allows administrators with appropriate Contact Management permissions to use the results of the task to view, merge, and resolve duplicates.
