Coordinator of Gratitude & Stewardship - High Point, NC (Full-time Onsite)

QUALIFICATIONS:

  • Bachelor’s degree from an accredited college or university preferred;
  • Minimum of one to two years of experience in stewardship or customer service/appreciation, and/or marketing, preferably in a higher education fundraising office;
  • Experience in writing and editing for press releases and marketing-related content;
  • Proficiency with Microsoft Office suite of software programs, Adobe or other creative design software tools, video, and social media tools, and inventory tracking tools required; Blackbaud AcademicWorks Scholarship software and Raiser’s Edge software or other CRM software programs preferred;
  • Ability to manage multiple projects, address priorities, and maintain a positive attitude while adhering to deadlines, including times of increased workload;
  • Highly detail-oriented with a critical degree of accuracy regarding data entry and analysis;
  • Ability to learn, remember, and integrate rules, policies, and practices guiding the performance of job activities and requirements;
  • Works well as a team member as well as independently;
  • Great interpersonal skills with the ability to communicate effectively both verbally and in writing with immediate supervisor, IA and other HPU staff, and donors/prospects; and,
  • Ability to appropriately manage sensitive and confidential information.


ESSENTIAL FUNCTIONS:

  • Facilitate the installation of major gift recognition pieces in keeping with advancement officer and donor wishes, and University timelines for benches and classroom/room plaques. Assist the Manager, as needed, with coordination of other major gift recognition pieces through vendor production and, obtaining, creating, and mailing photos of recognition pieces;
  • Track and maintain a log of all donor recognitions, production status, and information-sharing preferences related to anonymity, photography, and appearances in University publications;
  • Track and maintain inventory of current and potential naming opportunities for tracking of locations and availability across campus, including routine audits;
  • Coordinate the major gift press release process and any additional written marketing materials, including the gathering of information, coordination of donor interviews, review and approval by the Office of Communications and I.A. leadership, updating of actions on donor records, adding the finalized press release on donor records, and updating of the press release tracking spreadsheet;
  • Provide printing and mailing support for the production of annual endowment reports, as well as assistance in the creation of reports as needed;
  • Provide printing and mailing support for the production of select foundation, major donor, and other special initiative reporting as well as assistance in the creation of reports as needed;
  • Coordinate Magnolia tree and Brick campaign orders, and oversee the installation processes with vendors and internal stakeholders, maintenance of records in Raiser's Edge, and the mailing of appropriate pictures/certificates/cards to donors;
  • Assist the Manager with campus use and maintenance of the AcademicWorks/Scholarship Management software;
  • Provide administrative assistance in the marketing, application, and selection process for endowments that have scholarship and annual award recipients and require Office of Institutional Advancement approval;
  • Assist in the creation, gathering, and management of supplemental creative materials for the annual publication of the President's Circle Honor Roll;
  • Assist with input and regular maintenance of electronic records in Blackbaud Raiser’s Edge and AcademicWorks/Scholarship Management for all endowed funds;
  • Assist in the planning of gratitude events for donors and student recipients;
  • Ensure the electronic filing system for all marketing materials related to naming opportunities and new facilities projects is updated and available to internal stakeholders;
  • Execute donor recognition programs, as assigned by the Manager of Gratitude and Stewardship, during the University’s annual Gratitude/T.A.G. Week;
  • Organize printed cards and appropriate signatures for birthdays, tributes, sympathy, well wishes, appreciation, Magnolia Tree and Brick campaign gifts, and other donor recognitions;
  • Facilitate the signing of donor acknowledgments from students, and coordinate student photos and video thank you messages for donor acknowledgments;
  • Assist in providing design and graphics relative to stewardship pieces and publications; and,
  • Perform other related duties as required or assigned.


ACCOUNTABILITY:

  • Meets goals and deadlines as outlined in weekly, monthly, and annual supervisory meetings;
  • Ensures timely and accurate recording of naming opportunities and inventory;
  • Reports to the Manager of Gratitude and Stewardship on a weekly, monthly, and semi-annual basis on project statuses and upcoming deadlines; and,
  • Maintains positive donor relations through accurate and effective communications.
