JOB SUMMARY
The Records Specialist & Academic Scheduler position is responsible for student, parent, and academic record management as a member of the Applications and Data Solutions team. This role is responsible for creating a comprehensive scheduling program using the school's student information system (Blackbaud K-12 cloud) that fulfills the needs of the school. The Records Specialist & Academic Scheduler will create and distribute advanced reports to support the projects and special requests from our internal and external community.
ESSENTIAL FUNCTIONS & TASKS
  • Manage and serve as primary contact for all academic scheduling-related tasks, including but not limited to:
    • Database setup
    • Student course requests
    • Classroom capacities
    • Teaching assignments
    • Course offerings
    • Daily schedule outlines and rotations for blocks and tracks
    • Run master schedule and student schedule process
    • Make student schedule changes throughout the year
    • Create quality assurance and analytical reporting.
    • Internal and external scheduling-related communications
  • Develop efficient scheduling timelines, protocols and procedures.
  • Work with academic school programs for schedule development and registration.
  • Work with future alternative programming development.
  • Conduct trainings for individual and group audiences; students, parents, faculty/staff.
  • Ability to create technical and user documentation and instructional videos for training purposes.
  • Ability to review graduation requirements and provide insight into what is needed for students.
  • Manage Incoming student transfer records and proper credit accumulation.
  • Assist Registrar with developing grade and reporting solutions.
  • Assist Registrar with records requests.
  • Analyze data for proper standards and integrity.
  • Create documentation for departmental procedures.
QUALIFICATIONS
BA/BS Degree in Education or Technology or Mathematics
KNOWLEDGE, SKILLS & ABILITIES
  • Academic scheduling experience.
  • Blackbaud expert.
  • Understanding of database file structure.
  • Private school knowledge.
  • Understand PK-12 course curriculum, progression, and sequencing.
  • Attention to detail.
  • Ability to adapt to changes and pivot with ease.
  • Ability to juggle and schedule multiple commitments and resolve conflicts.
  • Understand and analyze database integrity.
  • Excellent verbal, written, and organizational skills.
  • Ability to collaborate at various levels.
  • Strong organizational and time management skills.
  • Ability to work independently and in a team environment.
  • Demonstrate critical thinking to problem-solve and determine solutions that align with our department, division, and school.
  • Ability to model and promote the core values and mission statement of the school.
  • Must be able to sit and stand for long periods of time.
  • May require lifting up to 30lbs.
  • Adequate physical mobility, dexterity, and strength to participate in a school environment and to ambulate across campus.
