Prospect Management

Is there a way to do a global change of prospect managers? Basically a long time DoD left our organizations and we want to transfer all of her PMs to the new DoD. Thank you.

Yes, it's a bit of a faff, there must be a knowledgebase article- ask BB support

Hi Anthony! This is the article I use for the assigned sollicitor global add/global change :

@Anthony Plamondon Welcome to the BB community forums.

Use caution: the link within the KB article @Delphine RocherLewis shared says this:

(NOTE: Global change on assigned solicitors records affects all assigned solicitor relationships on a constituent record. If constituents have multiple assigned solicitors and specific/certain ones need to be updated leaving others unchanged, follow the steps under To change/update specific solicitors below).
    KB 52765

Test it with a record or two first. Assigned solicitors is easy to get messed up. Example - trying to put an end date on Solicitor Joe and you do a global change, it can put that end date on every solicitor on the constituent's record. Have experienced this years ago. Be sure to follow directions carefully.

  • @Anthony Plamondon Global change is really not the way to go for this, since it can cause lots of changes with other solicitors. Import is the way to go for making an old solictor a former. For the import to make an old Solictor a former one, you will need the Consituent ID (ConsID), the Solictor Type (ASRType), the Date to (ASRDate to) or Date From (ASRDateFrom) depending if you are making the Solicitor a new one or a former one, The Solicitor Import ID (ASRKlink) and the Solictor Relationship Import ID (ASRImpID). THe ASRLink which is the Solictor Import ID will be the same for the Solictor, it is a unique ID just for that individual solicitor. IF you are adding a NEW solicitor, you can do a global add, IF, you have the a query of those folks that will be assigned the same solictor or you can also do an import of you want.

You will need to start off with a query and export to get the information of the old solictor and the people they are assigned to to get the information above.

Making a solictor a former one IMPORT:

This can get a little tricky and takes awhile to comprehend. ALWAYS do a test first. Here is a knowledge base for it:

I just wanted to second what @Joe Moretti said. You need to be extra careful here when using a Global Change as it will update ALL the solicitors on a constituent record. Much safer to use Import make sure you are only updating the records that you want.

  • @Anthony Plamondon
two things - 1. I agree be careful with global change. and 2. I would not delete the old DoD I would just add an end date and add the new DoD with a start date.

If folks were assigned to someone, or more than one over time, It needs to show on their record who was interfacing with them.

  • @Anthony Plamondon Hi Anthony! I just wanted to add that you might want to look more deeply at the interactions the constituents had with the former DoD, before just transferring them over to the new DoD. We had similar situations and, because our prospect managers are those responsible for the strategy behind the relationship with the donor, we found some cases where other people were better suited to be the prospect manager. It was an opportunity to re-evaluate who the prospect manager should be for each donor. In our case the size of the list was manageable.
