Hi, what is the best way to create an “honor roll of donors” with cumulative giving to a specific fund within the fiscal year?

  • @Teresa Battaglia If this is for someone to use for a mailing/emailing, etc., I usually start with a query that pulls all gifts based on the date and fund. You need to determine gift type and subtype if that matters as well as soft credits or not. Then I turn to an export to actually pull the list using the summary field to get the cumulative giving.

    @Teresa Battaglia as @Mark Guncheon said, start with a constituent query = summary total amount of gifts works well (more than $1 to fund ABC. I use the same process of taking to Export to pull donor lists for publications or for as Mark said for mailng/emailing.

    I find the best way to generate a donor honor roll list as you describe is to run the Donor Category report for a time period and filter on Fund. You have to set up the Donor Categories in the Donor Categories Table in Config to use them.

  • @Teresa Battaglia, I would second @JoAnn Strommen's method of using Gift Summary in Query. Then export to obtain specific salutation fields and again use Summary to export and rank total giving amount.

    Reports can be used as long as you aren't picky about salutation format, but if you're using the list in any type of publication, you'll have to export the report in excel, csv, or txt anyway to get it into a usable format. Running an Export off a Query is much simpler, as the reports often have funky formatting when converted out of pdf.

    When I've done it, for publication purposes, I set up Donor Category reports for each of the sections/categories and use the DC reports by exporting them into excel/csv, that way I could tidy them up because formatting is never perfect but they were already sorted in the correct order
