Non-Constituent Event Participants

Options

I'd like to run a query or export on all non-participants who we coded as Named Guests to an event by a “Non-Constituent ID." This is to determine if (1) there are any non-constituent duplicates and (2) there needs to be a process to have non-constituents converted to a constituent because they've engaged with us by attending X number of events.

Is there a way in database view to do this? Non-Constituent ID, Name, & # Events?

You could do this using a Participant query in database view.

The criteria would be “Participant is a constituent = no”. There is an import ID attached to each participant, but it will be different for every event for which they are registered. But if you include the name in the query output for all of those non-constituents. and sort by name, you'll be able to see how many times they exist in an event record.

I like including the event name in the output too. You will probably notice patterns that can increase confidence that it is the same person at each event. “Oh there's Michelle. She always comes to the Walk for Pets event”.

  • @Karen Diener Good morning and thank you! I did this yesterday and was sifting through thousands of records. The challenge was knowing if that record was the same non-constituent record or a duplicate one with the same name. For example, I had 2 non-constituents with “Joseph Smith" which was the same Joseph that attends the Walk for Pets event, but they were separate records, so looking in NXT it shows 1 attending 2 events in 2021 and 2022, but 1 attending event in 2023. I'd like to easily see that this record attended 3+ events to convert to constituent.

In a separate event post, I received a recent response that there is also a Nonconstituent Merge Utility (kb) which I'll be testing today and hope it solves the issue I'm running into.

  • @Aimee Holland Just curious, how are you testing? are you using fake data in the real site or do you have a sandbox or separate site specifically for testing new processes? Thanks!
