Workplace giving - employer matching gifts

Options

Hello,

How do you enter and reconcile workplace giving? Currently, when a company sends us a check to match employee gifts, we enter a line for each employee matching gift rather than entering just one gift for the whole amount.

For example, if ABC123 sent us $50 to match a $25 gift from John Smith and a $25 from Sally West the gift batch would have two lines for ABC123, each with a gift of $25.

This is super helpful for reconciling employee giving but does make reviewing and verifying the batch more complicated. I am curious to hear how other orgs are entering these gifts.

Thanks!

@Krista Berg We enter it as one amount (one line) and apply it to each of the appropriate MG pledges. Has worked for our needs.

I enter each separately. Yeah, it can make reconciling a little hinky but they are pretty easy to spot and match up.

Either way is fine. I think it will depend on if you were already expecting the match. @JoAnn Strommen's method works well since the MG pledges are already in place, and she can just apply the gift to those pledges. @Christine Cooke bCREPro's method is better for easily recognizing the gift in the list. Unfortunately, matching gifts have changed wildly from when RE was designed. Whichever way you decide will work. At the risk of sounding like a broken record, I think consistency is the most important. And document it.

  • @JoAnn Strommen We had someone donate online & pay the fees so it shows up a little over $100. The $100 matching gift came in from the employer and I'm having a hard time entering it because it wants to split the original gift between $100 and the $3.94.

NOTE: I'm brand new DA and tried going into the original gift and then matching gift - but it wants me to do something with the smaller amount.

@Tracy McLuskieNot sure I'm following your question “split the original gift”.

You can create the MG for any amount. It does not have to be the same amount as the original gift. Gift can be $106.28 and match can be $100, $200, $50 or any amount.

  • @Krista Berg We enter it as one amount and apply it to each of the specific MG pledge individually.
