Constituent Code Drop Menu at Gift Entry

Hello,

I am trying to edit the Constituent Code Field in the Gift Entry Batch Headers to display/reflect new giving levels.

I have gone in and created the codes. I have also found the Fields section in the Configuration node; however, I cannot seem to locate where the Field can be edited. Is there another area that I am missing?

Currently a few populate the dropdown, but it's not universal. “Donor” seems to trigger if someone has made a gift at any point but, someone new doesn't get anything.

Does a constituent have to have Gift History with that constituency already on the record?

What if they move up a giving level, and that's not the appropriate constituency?

Additionally I am probably too specific in my Knowledgebase search for: “Constituent Codes in Gift Entry”. Is there a ‘back-end’ that I don't have access to?

    @Francis Kelly If I understand correctly, this is a gift batch. The gift constituency would have to match a constituent code that is already on the constituent record. Changing the gift constituency does not change the main Constituent code.

  • @Francis Kelly, you'll probably need to set up some weekly review queries/Lists to achieve this goal. Create a query/List, for example, with criteria = Gifts this year > $5000 AND constituency does not equal Major Donor. Then run weekly and bulk add the constituent code to the records as needed.

  • @Francis Kelly If I understand the process properly, the gift constituency code will pull from the primary constituency code at the time you enter the gift. If you are in the database view you can switch tabs to get to gift constituency code and the only options would be the ones already assigned to the constituent. So unless the code is already associated with the constituent it would be not an option on the gift.

    This part right here. The constituent must already have the constituency at the time of gift entry before it can show up.

    @Francis Kelly I've read your post several times and other's replies. If I'm understanding you, you want to edit the field in the headers. Constituent Code can not be defaulted in the header row. It has to be selected for each record entered.

    As Sherry and Dariel mentioned, the code needs to be on the record.

    When you say you have created codes, do you mean you have constituency codes for giving levels? I would caution against this. It's not the real purpose for the field and in the future I think you will find it a challenge to keep accurate.

    To track giving levels, the donor category report can be created and run any time you need the info. I've heard that some folks then put the category in as a constituent attribute but again you need to develop a solid plan to update or date for accurate info.

    In searching KB, what your describing is the ‘gift constituency.' That might produce better search results.
