Prevent creating unnecessary records? Tributes

How do you prevent creating unnecessary records? My organization has a very large number of tribute gifts. We do have the tribute module. In the past, we have created a record for the IMO and another record for their surviving spouse. We mail newsletters and other information to the surviving spouse and in order to record mailings on their appeals tab found it necessary to create a record for them. We found this wasn’t the best solution as we were creating too many records. Currently, we are creating one record for the IMO making their surviving spouse a non-constituent relationship. In order to have the proper add/sal on newsletter mailings we put the surviving spouse on the add/sal tab. This solution has it’s draw backs and confuses people. I’m curious if anyone has any suggestions on how they handle this?

    Hi @Margaret Wagstaff - What if you switched it around so the surviving spouse had the full record and the deceased spouse gets a partial on the record + a tribute record. You could denote in the description for the tribute who the tribute is actually for.

    Hi @Austen Brown - I didn't even know you could do this as an option, but it makes perfect sense. We always had two records - surviving spouse and IMO deceased spouse. This is a great solution to reduce the number of records. Thank you!
