gifts not being marked as receipted and no receipt # being generated

When I ran the process the other day, it seemed to work. In other words I could set up the letters/receipts BUT there were no receipt numbers for any of the records. So I ran it again Mail>Receipts>Regular Receipts. Then only 4 of the 15 records were receipted. I spoke to BB help desk today and he couldn’t help me. He send me articles to read, one was about “what’s new with e-receipts in patch 27” super helpful when it had nothing to do with anything I asked him. He then sent me article 41640, at least it was to do with the trouble I was having. BUT we have checked all the steps and there is nothing I can see that is creating the error. I checked each gift (found in the batch) for the following:

Possible causes: (from the article 41640)

  • The gift is marked as Receipted or Do Not Receipt. NOPE all are not receipted except the four that worked.
  • The gift already has a receipt number. NOPE none had a # except the four that worked.
  • The constituent is set up to receive consolidated receipts, so a receipt is not generated if creating a conditional custom data file based on gift fields (i.e. gift amount, fund, letter code). NOPE none.
  • The gift has a $0 amount, and Exclude zero amount gifts is marked on the Gift Types tab of Receipts. NOPE none, but still tested the check mark for fun/ it wasn’t fun.
  • The gift is a recurring gift. Receipts are generated for recurring gift payments but not for the original recurring gift. NOPE none.
  • The constituent's address that is being used in the mailing does not have the ?SendMail checkbox marked. NOPE none all have a check mark.
  • The gifts have an attribute that is being excluded on the attribute tab NOPE no exclusions.
  • Canadian and Australian versions only - The gifts have been marked with the incorrect receipt stack or does not have a receipt stack specified. Thought maybe this was the issue because there were none specified, so I changed the stacks to Charitable and still got the error that no records matched.

Receipt stack matches to what is marked on the gift and in the receipt window.

Anyone else having this issue??

    I've encountered the “read this KB article” which was irrelevant too.

    Your check list is pretty comprehensive. One other thing that has happened to me is that I forgot to put the letter code on the gift record. Just a possibility.

    Will keep thinking of possible causes.

  • Thank you for responding. We have letter codes assigned as well, but letter code only affects the letter part not the receipt part

    Bummer, thought that might have been the issue. Maybe you have your RE configured differently, but our receipts will not generate if we do not have a letter code on the gift as ours are receipt documents.

    Is it a gift date or a post date issue? What grouping are you using to determine what needs to be receipted?

  • We use batches. Enter gifts daily into batches and it creates a gift query (selected query)

    If the gifts are in the batch and not showing up to be receipted, that is quite strange. I imagine that it has to be something in those records to make them not get set to be receipted.

    Do they possibly have an address type that is not selected to be used?

    Amanda, did you ever figure out what was causing this issue?

  • This mystery has been solved - on the attribute tab of mail>receipts we had “include” ereceipts so it was only generating receipts for those marked with the attribute of ereceipts, we did remove it and tried to run it again but did not hit ‘save’. Thank you to Jeff Gignac with JMG Solutions for assisting us with this oversight and getting us back on our feet!
