Need Help with Multiple Gifts on One Letter

Hello! I am trying to create letters for a post-event mailing. We used a mobile bidding platform, and I then imported all of the gifts into RE. There were some people who bought multiple raffle tickets, donated multiple times to fund-a-need, etc. I created a query to use for my mail merge; however, all of the gifts end up on different pages (e.g. one person would get 5 different letters for each gift). Does anyone know how I can create the merge so that all of one person's gifts are on one letter?

    If you have one gift with splits, it is possible to have merge doc formatted to list the different funds. If they are different gifts, there is not a process in RE to combine all the gifts easily into one receipt. You can do a consolidated receipt which will pull total amount of unreceipted gifts in one letter but you can't be as descriptive about what money if from.


    When I have several gifts from one person, I have cut gift detail/receipt #/etc from additional gifts and pasted it in on the one letter prior to printing. Not real user-friendly if details mid-paragraph. Pretty easy if footer of document.


    The other option would be to run your receipts as you did and then run a Reports>Financial Reports>Constituent Giving History. You could get a detailed listing for the person of all gifts for the date. Edit your letter to say see attached detail.
  • Ditto what @JoAnn Strommen has said. We usually merge multiple letters and then cut-and-paste into one letter. Takes a bit of time. The other options is, you could export the mail file into excel, modify it in excel, and then merge straight in Word instead of RE.

  • I believe you can create an export in the database view to do this. Select gifts, gift dates and say how many gifts you want to export (what ever the max is you want to export). Sort descending by date. Your export will have the gifts you are looking for. You may even be able to filter by campaign, fund or appeal, which will help you filter to only get certain gifts.

  • We have an Constituent Export that pulls the last 5 gifts from the person within a certain date range. The only issue with this is putting the 5 gifts in a Word table because you can't remove the empty rows or delete blank lines automatically. We also have address line issues that put an extra space in between them.

    I was really hoping that the Receipting process in NXT would help this. We split our gifts by fund if someone is giving to multiple funds and would like an option that displays the fund name as Joann stated. Has anyone tried the latest enhancements for split gifts recently?

    I haven't dealt with having blank lines left for blank fields in addresses for quite some time so don't recall the fix. I'd search for how to resolve with addresses in Word. Whatever the setting might be, I think it would eliminate the extra blank lines from the split gift list.

    Our letter has:

    <Split Amount 1> <Fund description 1>

    <Split Amount 2> <Fund description 2>

    <Split Amount 3> <Fund description 3> etc. up to 5
