Survey forms and duplicate records in Luminate Online

Options
We have noticed that our survey forms are creating many duplicate records for individuals. We have allowed the same individuals to submit the same form more that 1x which is needed functionality. Do you happen to have any suggestions on how we can keep the survey forms from creating so many duplicate records in our system?

  • Start by adding CAPTCHA to the form to stop bots. You may need to contact support to enable V3. Once enabled then simply add the CATCHA element to the survey. https://www.blackbaud.com/support/howto/coveo/luminate-online/Subsystems/TeamRaiser/concepts/admin_questiontypes_captcha.html
  • Hayley, if you're using the "Constituent Registration Info" question type then go to step d and the last option, #5, deals with what to do with duplicates. It's possible that yours is set to "always update" or something like that. We typically use the option to change if there is an improvement, or for some surveys you might decide to just accept the response without updating the profile. I would guess this is where the duplicate records are coming from.

    We are using the "Constituent Registration Info" question type and Accept the response and update the Profile of the constituent if improvement is what we have selected. Do you know of any type of global setting that may be overriding this?

  • Sorry, I don't know of any kind of global setting like that. Is there a specific survey that you're seeing create duplicates or does it seem to be anything active causing the issue?

    My org was dealing with a similar issue. There is another global setting for enforcing unique emails in LO:

    USER_ENFORCE_UNIQUE_EMAIL:

    Whether ("TRUE") or not ("FALSE") to force users to supply a unique email address.


    Set this to TRUE and it enforces this for surveys and donation forms. Once we initiated this the duplicate issue has been much better. You can have different settings for TeamRaiser and Calendar Events.
