Can you edit a pledge payment?

I discovered someone with an open pledge made an online gift intending it to be a pledge payment. It was not entered as a pledge payment but as a cash/direct debit gift. Is there a way to edit the gift so it is applied to her pledge?

  • If the gift hasn't been posted then yes.


    In the DB side open the gift in question. Click the Gift drop-down up top and go to Apply to> Pledge.


    If the gift was already posted than you cannot apply it to the pledge at least that I know of. Hope this helps.
  • Thank you. Unfortunately it was already posted so I will have to delete it and re-enter the gift I guess.
  • If it is a one time pledge you could just delete the pledge itself since you already have the payment.

    Deleting the pledge depends on your procedures and accounting. If pledge is posted, deleting it's not the best option. :)
  • Sorry, I meant the cash payment that I need to apply to the pledge. If I delete it and re-enter it then I can enter it as a pledge payment.
  • the is an unpost utility that you can download to unpost posted gifts. There are a couple of things to keep in mind.

    1. everyone has to be out of Raiser's Edge to run it. I would suggest creating a gift query and list just that gift record in the query.

    2. if you have a different general ledger number for a cash and pay-cash gift

    3. you have to repost the gift after you apply it to the pledge
  • Use the Unpost Gifts plug in as Jason suggested. That way you have your audit trail. You shouldn't delete.
  • Get the unpost gifts plug in so you don't have to delete and reenter. Everyone has to be out of the system when you use the plug in. It only takes a minute, though.
