If both alums, they each have a record. We repurposed field on Bio 2 as Alum/Alum.  That is entered in field for records where spouse is also an alum.  Then we have a business rule pop-up that tells you you're opening a record of an alum/alum couple. We SC gifts.

Non alum spouse - most are relationship records only. Unless, like in any case, they have reason to have their own record due to involvement with university, staff, give separately from spouse (ex: MG from their employer).

When alum dies, in most cases, non alum spouse gets record made with constituent code of Family of Alum and solicit codes, special notes are copied to this new record.

Faculty/staff couples each have their own record with relationship tie and SC gifts.

Out of curiousity JoAnn Strommen‍, what field did you repurpose?  Granted, I imagine there are plenty of fields on Bio2 that are unused by most organizations.  While I'm not at a HE organization, I handle these almost exactly the same, outside of the repurposed field.  Also, we try to use HOH flags for excluding for double alum households.

We've repurposed a couple fields on Bio2.  Alum/Alum is in what was originally the Religion field.
  • Hi Thanks so much for sharing your knowledge.

At the moment we don't use HOH field.  We have constituent attribute with unique ref no .  Which I think its complex way and one more step to remember.

    Thanks for sharing .

I didn't think to mention how we use HOH. If both have records, one, generally male, is marked as HOH.

Yes, an attribute would definitely be another step to remember as you cited.
  • Hi - Thanks so much. I am thinking to start using the HOH field and yes, the  Male will be the Head of Household, then an additional addressee and salutation , to be able to address them as a couple.
