Why does my audience tab not show the correct number of constituents in my audience?

The audience tab is configured to list the number of members in a given audience. That data is pulled from the "Group Summary" section of the group(s) within your audience. That Group Summary section is not updated on a moment to moment basis. If you have recently added/removed constituents from said group(s), the Group Summary may not reflect that and thus the audience tab may not reflect that. To rectify this, go into the group(s) and click "Refresh Summary".

If the "Refresh Summary" link is not available in the group, then the group is not a manually created group but rather a dynamic group. When it comes to emailing dynamic groups, such as those updated by Interests or Queries, think of the Group Info tab as a dashboard. It may indeed reflect older stats, but Convio "knows" who's in the group and email-able at any point in time, so email always goes to the currently email-able list of members.

Convio refreshes any refreshable group in an email target list the moment before sending, so you can be sure that the email will go to the most current list. This refresh does not necessarily update the stats of the group info tab - only manual refreshes do that - but there's absolutely no cause for worry.

You can always verify exactly to whom the email was delivered with the Delivery Recipient Report:

1. Open the relevant email campaign

2. Click the Deliveries tab

3. Click Review next to your sent message

4. On the left nav, click Delivery Recipient report

This report generates a list of everyone to whom Convio sent the email. Important notes:

  • the number of constituents on this report won't equal the total number in a group. remember that in any group, there are people opted out of email, removed, and/or hard or soft bouncing. On the (refreshed) Group Info tab, look at the number of Usable Emails for a better benchmark.

  • the number of constituents in this report may not equal the number of folks who actually receive the email, because of new hard/soft bounces that did not occur last time. if you like, you can go to the Reports tab of your campaign and run the Bounce reports to see who bounced on a particular message.
