Gift Type and the GL

When a donor pledges we recognize the promise and book the entry. We currently do not us FE. At the end of the month I run the report for GL Post and use that information for my JE. I've attached a snippet of what the gift entry contains. The GL #'s are not showing up on GL Post report. This pledge is unique in that - The Pledge is recognized utilizing one GL number but this fund can also have just a regular donation(not pledge) dedicated to it. I would like to set this up with a gift subtype so that the pledge goes to the designated account. Thanks I hope I explained the dilemma.

  • I don’t know if I can help, but here are a few (disorganized) thoughts:

    If you look at Records-Funds-100 Women-GL Distributions tab, are both Debit and Credit Account Numbers filled in for all of the gift types you are currently using?  If gift types Pledge Current and Pledge Future have both of these columns populated, the Post to General Ledger routine should be printing them on your post report.

    Normally, an outright gift (regular donation) to this Fund would carry the GL pair defined for the Cash gift type, while the GL pair that applies to your pledge would be far down toward the bottom of the grid, where you find Pledge Current and Pledge Future.

    The CREDIT Account Number for Pledge Pay – Cash should be the same as the DEBIT Account Number for Pledge Current and Pledge Future – or at least that’s the case at my organization.

    Here, we use gift subtypes to differentiate one form of payment from another in the ledger, so an outright gift via check and an outright gift via credit card would carry the same Credit Account Number, but their Debit Account Numbers would differ.  The credit-card GL pair is defined in a subtype under Cash, Pledge Pay-Cash and Recurring Pay-Cash.  We have not had occasion to create subtypes under Pledge Current/Pledge Future, but it looks as though Raiser’s Edge will accommodate that if you have such a need.
