Have you eliminated mailed receipts for OLX transactions?

Doe any of you send ONLY eReceipts and do not send mailed receipts for OLX online transactions?  Why or why not?  Curious as we're considering eliminating mailed receipts for online transactions.

    Hi Rodney,

    We do not mail hard copy acknowledgements for gifts that come through OLX. Our thought is if the donor is giving online, they'd rather receive the thank you electronically as well. It cuts down time on printing and mailing, too!

    We are still currently also sending a mailed receipt because a handwritten message goes on almost everything that is mailed out, and the online receipt we currently have is very generic.

  • We still send out a mailed tax letter as well. I'm interested to hear what others are doing.

    Our organization still sends an acknowledgement letter hand signed by our executive director. In it we thank them again for their gift and offer to mail a copy of their receipt of their donation if they want/need it. We decided it was a good opportunity to follow up especially since many of our online donors are first time donors.  
  • We also send hard copy letter in addition to the e-receipt. The letter is much more personal with specifics of gift and personal signature. We have had several donors ask us to save money and not do this, but they asked that it be emailed to them. The did NOT ask for no second letter, just that we not mail it but save those costs. In this case, we still send another acknowledgement via email, but more personal than the receipt.

    We are currently provideing just a smilpe reciept that shows we received the gift via email but mailing a hard copy thank you letter with the tax information on it. I would like to move away from doing this much like Genie. However sometimes people make a mistake and do not put in the correct email and we always want to make sure our donors know how much their gift means to us so we have not been able to move away from the mailing of letters.

    Hi there, we've eliminated mailed receipts for single OLX transactions, and it's been fabulous. It's so much less hassle. While the sense of urgency about gift processing remains (as always!), there is now no pressure to crank out the receipts and get them in the mail ASAP. We also reasoned that if a person chooses to give online they probably don't want paper.


    Happily this is coinciding with a " your donation goes further when we go green" message we're really pushing this year to encourage donors to switch over to e-media and e-receipts in general. 


    We haven't eliminated paper for recurring gifts yet because they receive a consolidated receipt at the end of the year, they get an e-acknowledgment instead when they give. My understanding of OLX is patchy at best, so we have 2 separate check outs; one for single gifts and one for recurring to make sure the right message is sent. 

  • We send a mailed acknowledgement letter with language tailored to the gift designation (NICU, Cancer, Heart & Vascular, Unrestricted, etc.)  The language of the emailed receipt is general.

    My organization uses the email confirmations as a tax receipt. The email confirmation language changes depending on the form it is tied to. We figure that if folks are giving online, they would prefer to be communicated in return online, through email.

    Hi rosanne tejeda‍ - I believe Mhairi Murray‍ is taking about setting up a separate form for cash donations and recurring gift creations.  We do this at my organization as well.

    We follow the same process as Mhairi Murray‍. No mail for individual donations and a year end receipt for recurring gift donors.
  • Wondering if anyone in this thread can offer assistance on an issue my organization is experiencing. We also want to use the OLX eReceipts for people who are donating online, however we still receive alot of offline donations and because OLX doesn't update with the next receipt number in RE we are receiving duplicated receipt numbers from OLX - which for auditing we can't have.


    So I'm wondering for those who are using OLX receipts how are you getting around this?
