Online Express Overwriting preferred address.

can online express be configured to move an old address in Raiser's Edge and make it previous instead of the entire address just being overwritten.

  • Unfortunately, you have to manually configure it to do this each time you download donations (or, I believe, memberships or event registrations).


    First, vote for this Idea [https://onlineexpress.ideas.aha.io/ideas/BBOX-I-336] in the OLX Idea Bank, which includes a request to make this whole process easier.


    Then, read this Thread [https://community.blackbaud.com/forums/viewtopic/213/17350?post_id=102409#p102409] and make sure you reject updates both in the "grid" and also on the bulk processing window.  Essentially, you need to reject updates to the address on the record itself and then again when you process them.  It's a bit of a pain (depending on your volume of transactions, a major pain) in the neck, but better than going back to correct that data after it hits your database.


    On each transaction is also the option to copy the old address as an alternate and add the new address as the Preferred Address.  I am not entirely certain how this operates, but I believe if you do this, you still need to reject updates when processing.  If you are able to test this, or find out more information, please add it to this thread for reference the next time someone is looking for this information!

    I think Jen's answer should pretty much be a "yes", because that final paragraph describes how you do it.


    We've taken to setting up the Batch in advance (before processing go to Tools - Transactions options and specify the batch you want to add them too) which - so long as people remember to do this (reduces the number opportunities OnEx gives you to accidentally overwrite stuff).


    So basically do this:
    • Find the match & click on it once.
    • Click on "Link Constituent" at the top and then "Choose Selected Constituent"
    • (This takes you to a new screen which sometimes has two tabs and sometimes doesn't!. If there are two make sure you attend to them both!)
    • If you're wanting to create a new address and mark the present one as previous you should leave the individual lines ticked (though names, emails etc need to be thought of separately
    • The crucial bit is the options at the bottom: Choose these options.

    • Now click "Save and Close". If you need to open the constituent to make some other changes, don't do that here, do it after you've saved and closed
    That should do it. Make sure that on the addresses tab on the constituent record the tick box at the bottom aren't ticked. That confused us out this morning briefly.

  • I have an issues where I am not sure if an address has been overwritten (someone else processed). Is there a way to look up what the person originally typed into the online form?
  • If you ask BB nicely they can provide you with the data in XML form, but it's a pain to sift through. Some info is available in BBMS.


    My advice moving forward, however, would be to make sure all your forms have an address that is CC'd in on any auto-generated emails - you do this on tab 5 (and it doesn't auto-copy if you are copying from previous events!) - and that you include their address details. That way you should always have something you can refer to. I just set up an Outlook rule to auto-file them until I need them.

  • Where do you reject the updates? I do not see that on the transaction grid or in the batch.
