Transfer Existing Recurring Gifts to BBMS?

Hi Everyone,


We are in the process of implementing Raiser's Edge and Online Express (we'll switch to NetCommunity very soon after RE is live). We have well over two hundred recurring gifts already running in our current credit card processor, Authorize.net. I've been trying to find out if Blackbaud or another vendor could help us transfer those payments into BBMS when we make the switch, instead of having to cancel those gifts and ask the donors to start new ones. Did anyone else address an issue like this during implementation? Any suggestions for us on how to make this happen?

  • Not 100% sure of this but this is what I think might work. Do you have access to the full credit card information (number, name, expiration date) in your current system?  If yes, you may be able to export out of the current system and into RE.  You would have to first load the credit card numbers into the BIO 2 tab where BBMS requires the credit card information be stored and then save the record, that will push the information up to BBMS.  Then you can import the Recurring gift into Gifts.  Once imported, though, you might have to link the RG with the credit card information that is stored on the BIO 2 tab.   We had to go get new credit card numbers from our donors once upon a time, not sure exactly when or why.  Good luck.

    Due to PCI compliance laws, I don't think you'll be able to do this the way that you want to do it.  That said, CC #'s can live in two places in RE for processing in BBMS - on Bio2 as previously mentioned and also on the Pledge/Recurring Gift record.  If a gift is made via OLX or BBNC, it will automatically go to the gift record - not Bio 2.

    It would be very unusual for Authorize to provide the full CC info to you - it would void the protection of that personal information.  I've been told many times by BB Support that the CC info is even the one piece of information they cannot extract from the administrative back-end!  I always have to call the donor and beg their forgiveness, but 'could I have that number one more time please?'  :(


    You may want to consider a digital e-blast to introduce donors to the new system and provide a walkthrough so they can input their information.  Or mail a letter with similar intentions.


     Definitely communicate SOMETHING to them, because while many donors will just nod at the amount and think, "yes my donation was processed this month," there will be that One Former Retired Accountant who calls you demanding to understand why their bank statement has a totally unknown "BBMS Charity Name" charge from their account.  ;)  I speak from experience here!
