How do I include spouses in an email list in Online Express?

I started using Online Express a couple of weeks ago, so I am still in the exploring/experimenting phase. I create a query yesterday to segment a group of donors who where invited to an event but weren't able to come. Of course invited spouses, too, and I have emails for them on record - but they are mostly not constituents. How do I include spouses when sending emails through online express? I looks like I can only send to constituents.

    Hi Heike, you are correct that Online Express currently can send to constituents. Constituent records contain all the necessary data needed to send an email, like merge fields and unsubscribe preferences.



    That said, if you have multiple email addresses mapped in the Online Express integration options menu (Account > Integration options) you can choose to email to ALL email types instead of the first available:



  • So I know it's not working .... but it should. I don't add Mrs. Smith email address on Mr. Smith's record. Also, I won't be able to map this correctly with the salutations. My only alternative currently is to make all spouse constituents - and that's impact RE reporting. So I don't really want to do this.



    What's your advice?

    The emails you have on record for spouses, how are they stored currently? I was assuming they were alternative email types on a spouse's constituent record, but it sounds like that may not be the case for your database?

    Hi Sam - you can access the integration options using the Account menu in the upper right of Online Express. Note that you must be a supervisor user to access the Integration Options.
  • Just a response to this older topic, it would be great if you could choose multiple emails to use rather than "all". We have "Email/Him" as a type and "Email/Her" as a type. It would be great to be able to choose to use both of those email types, or they only have one, the one they have. From what I understand, it's either use one in the order of primary-->secondary-->tertiary OR ALL. A third option of choosing multiple emails would be good. If that's possible already, how?

This would email to only one of the two above types if that's all that exists on a given record, but if the record contains both types, the email would be sent to both addresses.

    Chris, thanks for your response. So basically what you're saying is check the "send to all" box, then just use those two types in the mapping within BBOX?

    If you only ever want to send to those two email types, then yes, this would accomplish what you're after. Remember that "Send to All" doesn't mean that Online Express would send to every email type it finds on a constituent record. It just means that it will send to all of the three mapped types (primary / secondary / tertiary).



    So let's say someone has 5 email types on their record (email1, email 2, etc). If you have email types 1-3 mapped as primary / secondary / tertiary and you have the "send to all" box checked, the email will be sent to email1, email2, and email 3. It will not be sent to email4 and email5.
