Description:

Working under the supervision of the Development Manager, the Gift Entry Specialist will be responsible for all gift entry at the Colon Cancer Alliance. He/She will ensure that all contributions are coded accurately with the correct campaign, gift amount, accounting codes, and any restrictions that are pertinent. Other responsibilities include: processing gift acknowledgments, contact record cleanup, ensuring the accurate reconciliation of all end-of-month data reconciliation, working with the Special Events team to enter and upload race registrations and donations after events, and other related database administration tasks.  The ideal candidate will be very detail-oriented, organized, with strong communication skills and a desire to work with team members to fulfill the organization’s mission.

 

Primary Duties and Responsibilities:

Gift Entry:  Primarily responsible for entering all the gifts, grants, sponsorships, and other contributions into the organization’s databases. Knowledge of Luminate Online and CRM (Salesforce) programs strongly preferred. Accuracy and efficiency is extremely important.

 

Gift Acknowledgment:  Processes and sends all donor acknowledgments for the organization on a weekly basis. Knowledge of word processing and mail merges is a must. Reviews acknowledgments for errors and corrections. Sends acknowledgments in a timely and efficient manner.

 

Contact record cleanup:  Runs reports of all contacts added to database and cleans the report to ensure correct capitalization, punctuation, and contact information. Uses Demand Tools to upload cleaned report into Luminate CRM database.

 

Post-event data entry:  Works with Special Events team post-event to enter all race registrations into Excel spreadsheet and uploads race information into Luminate Online database.

 

End-of-month data reconciliation:  Works with Operations team to fix any errors or sync issues relating to donations and contributions within the last month. Enters electronic fund transfers (EFTs) into the database and recodes any necessary donations to reflect correct programs/campaigns.

 

Required or Preferred Experience:

  • Minimum of 1-2 years database and gift processing experience required, preferably in a non-profit setting.
  • Experience using Luminate Online and Luminate CRM recommended and/or strongly preferred.
  • PC proficiency and experience with word-processing and spreadsheets required.
  • Detail-oriented with commitment to high level of data integrity and accuracy is necessary for this position.
  • Initiative and follow-through as well as the ability to multi-task and set priorities are essential.
  • Good organizational skills required, with strict attention to detail in all tasks is critical. Must be able to work productively and positively in a team-oriented environment.
