Automatic Pledge generation vs. proposal generation

Hi all, 

I am a new user on RE and am curious what the best practices are regarding automatically generated pledges. My organization has created a system where an automatic pledge is generated if the constituent who donates has a relationship with a company that matches gifts, but lately we have encountered many instances where the pledges couldn't be paid (the donor had already reached their match cap) and we are left with an inaccurate database, or an inaccurate batch because we don't always catch the problem before we commit the batch. As an alternative, we are thinking about triggering a proposal to generate automatically to inform us of the potential opportunity, then we would create a monthly report where we would track down all those potential match gift funds. We are curious if this is something that other people do, and if there is an industry standard. Thanks so much for any response.

    We don't have a huge number of MG, but our procedures are to enter the MG pledge only when we know from the donor that their gift is to be matched.  Sometimes they tell us when they make their pledge, sometimes when they make their payment.
